About the Executive Assistant position

We are looking for an experienced Executive Assistant who will provide support with clerical tasks, ensuring all related corporate procedures are well-organized and performed on time. A successful candidate should be able to act proactively and without guidance while understanding the company's needs and adhering to its policies.

Responsibilities

New Customer turn-up:

  • Make the intro call to the customer and collect all the required information.
  • Be a contact point for the new customer - provide install progress reports.
  • Schedule the install tech and install time w/customer
  • Moderate the tasks in every new customer template
  • Call the customer and collect a list of their published phone numbers and other information
  • Collect the COB (copy of phone bill) from the customer
  • Port in new customer numbers
  • Sales - Assistance
    1. Send sales-dictated proposals to prospects
    2. Verify the normalized prospect address w/USPS database
    3. Confirm the legal business name with SOS and the DBA name.
    4. Check the 401K database for EIN
    5. Create and send sales orders to prospects via DocuSign & Adobe ESign
    6. Run customer portfolio reports and generate lists of customers up for renewal.
  • Billing
    1. Verify the new customer seat count matches the signed sales order.
    2. Job responsibilities will include processing and maintaining sales files.
      1. Update the “sold” list to track sales and agent commission payouts
      2. Update the list with the FOC dates
    3. Create bill transactions for agent work hours
    4. Processing commissions in a timely manner
      1. updating and maintaining commission demands
    5. Create a new invoice for our Credit team to fund the deal
      1. interaction with finance banks
    6. Create a new invoice for the customer’s 1st month
    7. Create a monthly memorized invoice for ongoing customer billing
    8. generating reports
  • Customer Support
  • This position requires a high level of customer service ability.
      1. Answer inbound phone calls and redirect callers as needed.
      2. Moderate customer support tickets to maintain customer quality of care through constant contact with customers.
        1. Make sure we didn’t forget about a support request.
        2. Ensure resolved tickets are closed out
    1. Scheduling customer appointments
      1. Moves
      2. New installs
      3. Repairs

  • Basic Skills/Qualifications

Requirements include Prior office experience. Minimum of 2 years experience as an administrative assistant, minimum of 2 years experience demonstrating accurate data entry, minimum of one year experience utilizing Quickbooks, MS Word, Excel, Outlook, and the Internet, very detail-oriented, minimum one year of general administrative experience, desire to promote Best Practices, ability to handle multiple tasks and coordinate various assignments while maintaining poise and excellent customer service, ability to be proactive and work independently, strong organizational, time management and communication skills. Strong math and/or accounting skills preferred.
