Description
Administrative Assistant - Resident Care shall provide for the needs of the residents, the resident care associates, and the resident care department. The Administrative Assistant shall assist with the overall clinical/wellness operation. The Administrative Assistant, in conjunction with the Resident Care Director (RCD), shall optimize the efficiency and the effectiveness of the resident care department
ESSENTIAL FUNCTIONS, DUTIES and RESPONSIBILITIES:
The essential duties and responsibilities described below are representative of those an associate encounter while performing the basic functions of this position. 1. Promote the mission and core values of the Community and LCB Senior Living to residents, visitors, co-workers and the surrounding community.
2. Play an active role in growing community occupancy by representing and interacting positively with potential residents, family members and professionals.
3. Participate in and complete the communitys assigned in-service training requirements, whether they be in person, in writing or online.
4. Prepare the Resident Care staff work schedule, to include RCAs, Medication Aides, and Nurses. The work schedule shall be posted within the community minimally 2 months in advance. Oversee all Resident Care staff attendance and paid time off (PTO). Assist with agency staffing and training if needed and allowable per regulations. Complete schedules within all budget guidelines, zero agency usage, when at all possible adherence to a 0-2% overtime usage.
5. Communicate with clinical associates, supervisors, and community leadership regarding the overall schedule, shift vacancies, and strategies to have completed schedules through Paycom.
6. Support the Care Department with regulatory compliance and Q/A for example ( but not limited to), coordinating trainings, track trainings, lead training (when applicable), follow up on weekly e-call compliance, assessment-service planning tracker and resident family signatures, quarterly Q/A staffing review, safety check reviews, introductory visit signatures, SAMM skills tracking, PC skills tracking, etc.
7. Support Care department with administrative duties for example ( but not limited to ) maintaining current bed rail list, narcotic list, diet list, compiling data for safety committee, compiling data for variance reviews, reviewing of meal check protocols, maintaining lists for EOEA binder, review of internal incidents to ensure EOEA reporting, etc.
8. Daily review of time clock punch detail and overtime hours. Daily review(running) of reports which include missing punch report, time detail report, and Labor Analysis/OT report. Review of agency usage. High level review to be provided to RCD/ED. Communicate non-compliance issues to appropriate department head. Will be able to communicate with all care associates through the use of Paycom scheduling to ensure proper coverage.
9. Supports RCD in the hiring process and coordination of new hire program and training. Will be responsible for posting jobs on Paycom and be initial contact for all candidates. Utilizes Paycom system to manage candidates and coordinate future interviews.
10. Will complete references through Paycom for new candidates. Will work closely with BOD to ensure pre-hire requirements are met and NHO(New Hire Orientation) is coordinated and pre- hire checklist is sent through Paycom.
11. Responsible for maintaining ads and keeping ads refreshed on a weekly basis.
12. Provide assistance with orientation and training for new associates on Yardi Care Stream, HER and Care giver responsibilities under the supervision of the RCD.
13. Order all department supplies and maintain inventory.
14. Maintain updated tracking of Nursing and CNA licenses.
15. Other duties as requested.
Qualifications
QUALIFICATION STANDARDS: (These qualifications meet or exceed NH, MA, CT and RI State specific requirements.)
a. Knowledge, Skills, and Abilities: Ability to use computer for scheduling, HCM, and internal network/internet. Shall be fluent in the ability to communicate in the English language, both oral and written.
b. Education: College degree required or equivalent experience.
c. Experience: Computer knowledge and previous experience with understanding computer systems.
d. Computer Skills: Demonstrates computer literacy and familiarity with office productivity software (e.g. Microsoft Word, Excel), and has the ability to learn and use new software platforms (e.g. Yardi, OnShift, Paycom etc.). Yardi, Paycom experience is a plus.
PHYSICAL AND ENVIRONMENTAL DEMANDS:
Good physical and mental health. Finger and hand dexterity to handle and manipulate instruments and equipment. Visual and auditory acuity. Must be able to lift a minimum of fifteen (15) lbs. and be able to carry objects. Must be able to push and pull carts, and continuously walk, sit and stand. Must be able to turn, crouch, kneel, stoop, bend below waist, and reach above shoulder height as tasks dictate. Must use good body mechanics. Stamina to make visits to residents throughout the community. Occasional pushing or pulling, assisting of residents weighing (~150 lbs.). Have the ability to occasionally push an occupied wheelchair for a distance of up to 200 feet. Must project a positive attitude towards the service provided.
Associate may be subject to potential exposure to blood or other potentially infectious materials, and to handling hazardous chemicals (either Category 1 or 2).
Salary : $24 - $26
