Job Summary:
The Sales Coordinator supports the Sales Department by performing sales and administrative functions, and coordinating projects and tasks to help drive Group, Corporate/BT and Transient business for the Courtyard, SpringHill Suites, and Residence Inn Downtown Bozeman. In close collaboration with the Area Director of Sales and Sales Manager(s), this position plays a crucial role in receiving and qualifying new business inquiries, generating new account prospects, and coordinating and implementing various group and corporate account functions.
Duties/Responsibilities:
Receives, qualifies, logs and distributes new business inquiries (leads)
Assists with sales efforts in identifying, prospecting and soliciting new business opportunities, and in selling guestrooms and meeting spaces
Assists in coordinating site tours, sales appointments/trips, and VIP arrangements
Fields internal and external calls and requests, and conducts appropriate follow-up; effectively communicates and coordinates client requests and needs, collaborating with other team members/departments as appropriate
Provides clerical and administrative support and generates reports
Collects/produces/maintains sales and marketing collateral, including proposal templates, sales sheets, signage, menus, etc.
Assists meeting operations with functions periodically as needed, including room set-up and tear-down
Demonstrates knowledge of the hotel and competitors’ facilities, services, amenities, and meeting space
Maintains accurate, legible records and files to provide group/client history, ensure future and current service quality, and enhance prospects
Assists in group accounting and billing tasks, ensuring payments/deposits are collected per contract
Additional duties as assigned
Required Skills/Abilities:
Excellent verbal and written communication skills with the ability to speak, read, and write English fluently
Excellent interpersonal and customer service skills
Excellent organizational skills and attention to detail, with the ability to handle multiple projects and tasks concurrently with moderate supervision; must be self-motivated and able to prioritize effectively
Flexible, versatile and a fast learner, able to adapt quickly and maintain calm in a fast-paced environment
Must present a well-groomed appearance and professional manner; professional phone and email etiquette
Able to meet the attendance guidelines of the job and adhere to departmental and company policies; willing and able to work a flexible schedule as needed
Strong analytical and problem-solving skills
Strong supervisory and leadership skills
Extensive knowledge of hotel and hospitality industry
Proficient with Microsoft Office Suite or related software
Education and Experience:
4-year college degree or equivalent experience preferred
Previous hospitality experience preferred
Physical Requirements:
Must be able to remain in a stationary position during shift.
Must be able to access and navigate the facilities.
Employees are required to adhere to safety requirements by wearing the appropriate personal protective equipment.
Work is routine and repetitive in nature and may require strenuous physical exertion at times, including the ability to move objects weighing up to 50 lbs.
