Key Responsibilities:
- Anticipate and address potential challenges related to meetings, travel, and events.
- Manage and coordinate business travel arrangements, including flights, accommodations, and transportation.
- Handle travel expenses and work with the Accounts Payable team.
- Maintain and organize executive schedules to ensure efficient time management.
- Serve as a gatekeeper, managing access to executives and maintaining confidentiality.
- Support executive meetings by taking notes, preparing summaries, and tracking action items.
- Coordinate communication and scheduling between all meeting participants.
- Plan and execute office and external events, including team meetings and customer functions.
- Oversee office-related purchasing and vendor management.
- Assist with various projects, research, and administrative tasks as needed.
- Manage subscription services and implement office efficiency improvements.
- 5 years of experience in a similar executive support role.
- Strong organizational and prioritization skills.
- Self-motivated and adaptable to changing needs and priorities.
- Detail-oriented with the ability to manage confidential information.
- Proficient in Microsoft Office (Outlook, Word, Excel); familiarity with OneNote and other management systems is a plus.
- Excellent problem-solving and communication skills.
- Capable of handling complex and high-pressure situations professionally.
- Judgment: Ability to make sound decisions and provide clear reasoning.
- Adaptability: Skilled in managing competing demands and adjusting to changes.
- Dependability: Reliable in following instructions, completing tasks, and working extended hours as needed.
- Planning/Organizing: Effective in planning, organizing, and scheduling work activities.
