Salary Range: $70K - $75K depending on EA experience

Work Schedule: Monday-Friday, 8 AM - 5 PM

Position Summary:

As an Executive Assistant, you will provide essential administrative support to senior executives within the company. This role involves handling a range of tasks such as scheduling, travel arrangements (both domestic and international), meeting and event planning, office management, and general administrative duties. Additionally, you may be required to assist with personal matters during busy periods and travel.

Key Responsibilities:

  • Anticipate and address potential challenges related to meetings, travel, and events.
  • Manage and coordinate business travel arrangements, including flights, accommodations, and transportation.
  • Handle travel expenses and work with the Accounts Payable team.
  • Maintain and organize executive schedules to ensure efficient time management.
  • Serve as a gatekeeper, managing access to executives and maintaining confidentiality.
  • Support executive meetings by taking notes, preparing summaries, and tracking action items.
  • Coordinate communication and scheduling between all meeting participants.
  • Plan and execute office and external events, including team meetings and customer functions.
  • Oversee office-related purchasing and vendor management.
  • Assist with various projects, research, and administrative tasks as needed.
  • Manage subscription services and implement office efficiency improvements.

Qualifications:

  • 5 years of experience in a similar executive support role.
  • Strong organizational and prioritization skills.
  • Self-motivated and adaptable to changing needs and priorities.
  • Detail-oriented with the ability to manage confidential information.
  • Proficient in Microsoft Office (Outlook, Word, Excel); familiarity with OneNote and other management systems is a plus.
  • Excellent problem-solving and communication skills.
  • Capable of handling complex and high-pressure situations professionally.
