What are the responsibilities and job description for the Construction Coordinator position at Lighting Maintenance Inc?
Lighting Maintenance Inc. (“LMI”) seeks a Construction Coordinator/Admin reports to the Division Manager and assists in performing several administrative functions. This position implements the organizations policies and procedures through work processes and maximizes work productivity through the efficient use of resources.

Essential Functions:
- Collect weekly payroll from divisional staff, verify hours against current GPS software and enter timesheets into accounting software for review by division manager
- Perform Billing on all construction jobs. AIA experience preferred
- Communicate with field personnel, customers, subcontractors & vendors to resolve any ongoing issues
- GPS review to include employee events, assigning drivers to vehicles, ticket & DVIR compliance, etc.
- Equipment management via fleet management services
- Assist with communicating and notification of the construction schedule
- Ensure inventory levels are accurate with warehouse representative
- Other duties as assigned including but not limited to:
- Creation & preparation of submittal packages, closeout documents, etc.
- Creation & upkeep of project binders and electronic folders
- Creation & Maintenance of employee files
- Purchase order management to include entries, receipts, managing call-in orders and finalizing PO’s
Responsibilities:
- Processes phone calls, emails, and schedules site visits for the Service Operations Team
- Enters work orders
- Sets up information in LMI computer software for customers, sites, and all site information
- Handles the Night Inspection Program by sending and receiving reports to and from inspectors. Sends reports to customers and enters returned approvals
- Tracks work order history for proficiency
- Prepares and bills service department invoices
- Collects timesheets and prepares for Service Manager
- Enters credit memos for Service Manager’s approval
- Orders office supplies
Requirements:
- Strong math skills and attention to detail
- Ability to work independently and take initiative
- Willingness to learn and receive training
- Must be reliable and able to meet deadlines
Skills:
- Minimum high school diploma or equivalent (GED)
- Valid driver’s license
- 2 years of Construction Administration preferred
- 2 years of AIA Billing preferred
- Detail-oriented and Self motivated
- Works well with others
- Must have strong/advanced computer capabilities in Microsoft Word, Excel, email, internet research & Adobe (or equivalent)
- Strong written and verbal communication skills
- Ability to work on multiple projects with short term goals.
- Problem-solving skills and a high attention to detail are required.
- Must have outstanding quality control skills.
- Must be able work independently to complete task
- Must be able to pass criminal background and drug screening.
- Must be authorized to work in the United States.
Physical Demands:
While performing the duties of this job, the employee must be able to read, write and perform basic mathematics. The employee is frequently required to stand, walk, squat/kneel, reach, grasp, push/pull, and twist/bend. The employee is expected to lift/carry up to 50 lbs. The employee is frequently required to talk and hear. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The noise level in the work environment consists of the operation of tools and equipment which can produce a higher-than-normal level of sound.
