Position Overview
Lightspeed’s Bid and Contract Assistant is essential to upholding our effort to consistently submitting compliant and effective bids. The work of the Bid and Contract department at Lightspeed is complex, detailed and business critical. The Bid and Contract Assistant will work closely with the Senior Bid and Contract Specialist to find, prepare and submit bids. The Bid and Contract Assistant will perform a variety of administrative tasks (mostly electronic) supporting contract maintenance.

The Bid and Contract Assistant will work closely with the Senior Bid and Contract Specialist to find, prepare and submit bids. The Bid and Contract Assistant will perform a variety of administrative tasks (mostly electronic) supporting contract maintenance.
Primary Responsibilities
- Review bid opportunities, assess for match and prepare bid participation summary emails.
- Bid Generation: Assist with preparing bid responses and processing awards.
- Review bids and annotate for Lightspeed’s processes.
- Organize and prepare bid response documents including complex pricing charts.
- May assist in clarifying contract terms & conditions with bid entities or internal partners.
- Request data for timely and compliant submission of bids from Sales, Marketing, Accounting as assigned, and insurance agency externally. Communicate and collaborate effectively with internal and external customers.
- Assist with processing awarded contract documentation; communicate to Sales, Sales Support and other departments as assigned.
- Contract Management: Assist with managing awarded contracts through their lifespan.
- Assist with renewals process including phone calls, emails, document creation and database records.
- Price and product (pricelist) updating. This requires detailed and complex document comparison and editing of critical data, usually in Excel.
- Miscellaneous administrative activities
- Maintain hard file, electronic and database records. Maintain online agency profiles and passwords.
- Prepare miscellaneous documents (MS Word and Excel; Adobe PDF, Mac Preview)
- REMC location database reporting.
- Assist other departments with Bid/Contract-type documents they receive including vendor registrations.
- Intermediate MS Word formatting skills, basic Excel, Preview and Adobe Pro, in the Mac/Apple environment.
- Proficient with internet research. Proficient with using NetSuite, SalesForce or other ERP/CRM including ability to enter data, attach documents and run reports accurately.
- Typing 50 wpm.
- Very strong detail orientation and ability to create error-free work.
- Excellent demonstrated phone and written communications, including proof-reading.
- Successfully meets short deadlines with multiple projects.
- Accomplishes work independently with little direction.
- Team player, can-do attitude; cheerful and flexible in general and in high-stress, deadline-driven periods.
- May need to periodically work outside standard office hours when under deadline.
- 2 years as an administrative assistant who exceeds expectations. Work experience with contracts, RFPs, grants or legal documents strongly preferred.
