Position Summary:
We are seeking a highly organized and detail-oriented Office Manager to direct and coordinate the overall operations of a multi-clinician office. The office manager will play a crucial role in ensuring the clinic flow and organization while maximizing cash flow and patient relations.
Qualified Candidates:
- Management/supervisory experience of at least 2 years preferred
- Experience with outpatient practice management, customer service, clinic scheduling, referral management, and insurance verification processes preferred.
- Proficiency in Mac operating systems, EHR/EMR systems (we will train on our specific system), billing procedures (will train), Google Suite, and social media platforms. Preference for experience with Canva.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills
- Attention to detail and accuracy in handling sensitive and confidential information, such as patient records and billing data.
- Ability to work independently with minimal supervision and collaborate effectively as part of a team.
Responsibilities:
- Manage day-to-day clinic needs, including maintaining patient records, filing, and data entry.
- Answer phones, respond to inquiries, and provide information about our services to potential and existing clients.
- Handle billing and insurance processing, including verifying insurance coverage, submitting claims, and following up on outstanding payments.
- Maintains financial goals of practice by ensuring efficient and timely billing and collection process. Review current status of patient accounts to identify and resolve billing and processing problems in a timely manner.
- Ensure and maintain electronic documentation
- Coordinate scheduling for therapy sessions, evaluations and staff trainings.
- Maintain staff schedule and manage vacation requests
- Participates in the development of facility strategic plans, goals and objectives
- Create content and promote clinic through social media sites
- Maintain cleanliness and organization of the office space, including waiting areas and therapy rooms.
- Assist therapists with administrative tasks as needed, such as preparing materials for sessions or compiling progress reports to input into systems.
