Position: Administrative Assistant
Reports to: Director(s) & Assistant Director(s)

Shift: Monday - Friday, 9:00am - 5:30pm with a 30 minute lunch break.

The Administrative Assistant is responsible for providing a welcoming environment, maintaining warm relationships with students and families, and ensuring the health and safety for all children within the center’s care. The Administrative Assistant is directly accountable for office administrative functions, client communications and supporting Director(s) in managing adherence to Louisiana Early Learning Center Licensing Regulations and local regulations.

Job Responsibilities:

  • Communications
  • Monitor phone, emails, parent engagement app and social media communications.
  • Provide excellent customer service and build relationships with families, students and coworkers.
  • Inform families of incidents/accidents/illnesses and address basic concerns and/or report concerns to the Director(s).
  • Assist Director(s) with school calendars, holiday closure notices, newsletters, social media presence.
  • Office Operations
  • Collaborate with Director(s) to manage adherence to Louisiana Early Learning Center Licensing Regulations and local regulations.
  • Maintain student records in accordance with established enrollment procedures and Bulletin 137 requirements.
  • Update and distribute weekly and monthly classroom forms.
  • Maintain records of contractors and visitors ensuring compliance with Bulletin 137 requirements.
  • Responsible for managing the front office alongside the Staff In Charge in the evenings and in absence of Director(s) including checking identification of child pick up persons, closing duties.
  • Collect payments, process tuition, communicate account balances with families as needed.
  • Assists Director(s) with bill pay, accounts payable and receivable, budgeting and data management.
  • Assists Director(s) with grant applications and additional required paperwork as requested.
  • Manages office and Director(s) calendars to ensure accuracy with appointments, important deadlines, etc.
  • Child and Adult Care Food Program
  • Consult with the Director and Chef on CACFP program functions.
  • Responsible for completing CACFP required documentation including recordkeeping, annual enrollment rosters, itemized receipts/invoices, disbursement journals entries, bank statement reconciliation, monthly claim submissions.
  • Ensure compliance with CACFP regulatory requirements.
  • Care of Children
  • Occasionally may be required to cover lunch breaks, assist with child bathroom breaks or or assist in the classroom.
  • Director Designee
  • Will be responsible for overseeing center operations to ensure compliance with Louisiana Early Learning Center Licensing Regulations and local regulations in the absence of the Director.
  • Additional Duties
  • Additional duties as needed, this is a fluid position and we are all hands on deck. We continuously reevaluate our protocols and policies to ensure all employees have opportunities for success.

Education and Experience Requirements:

  • Associate’s or Bachelor’s Degree in Administration or Business or related field OR
  • Associate’s or Bachelor’s Degree in Early Childhood Education or related field WITH prior experience in administration/business OR
  • Eligible for Louisiana Early Childhood Ancillary Certificate WITH prior experience in administration/business
  • Experience working with young children and knowledge of child development is recommended.

  • Proficient in Microsoft Office including Word and Excel, Google Sheets, Google Docs, Google Forms, Google Calendar. Must be technologically adept and able to learn Procare Software and other operations softwares.
  • Must have proven success with punctuality and exemplary attendance. Must be hard working and policy abiding. Must have excellent time management skills, attention to detail and organization. References shall address these qualities.
  • Exhibits strong communication skills, both verbal and written and presents oneself professionally at all times.
  • Honors confidentiality of all students, families and employees.
  • Must clear Louisiana Child Care Criminal Background Check and be eligible for employment in a childcare center.
  • Must be able to stay late if a parent is late to pick up (eligible for overtime pay.)
  • Occasionally, training may be required on weekends or after hours to meet annual professional development requirements.

Pay Range: $13-$17/hour
