NATURE AND SCOPE OF POSITION

The Advancement Coordinator is a member of the Division of Institutional Advancement and manages the donor database and Institutional Advancement-led special events. This position is responsible for gift processing, annual fund, and managing logistics for annual fundraising events. The ideal candidate will be an organized, detail- and deadline-oriented individual.

JOB FUNCTIONS

ESSENTIAL-

  • Manage gift processing activities, including magazine subscriptions.
  • Process card payments and record data.
  • Ensure that pledges, gifts, and biographic changes are processed accurately and on a timely basis.
  • Execute standard and custom donor reporting. Ability to create and modify new and existing reports.
  • Build and update mailing lists.
  • Manage the gift acknowledgment process from generating lists to processing and mailing donor letters.
  • Manage activities related to annual fund, campaigns, and/or appeals.
  • Manage logistics for special events, and coordinate planning with LEH staff and board.
  • Support VP of IA in fundraising for special events, including sponsorships and in-kind donations.
  • Provide occasional support to Grants Coordinator with application, reporting, and stewardship activities.


MARGINAL-

  • Provide courteous and prompt service to all internal and external clients. Prioritize and address requests and assignments in a professional manner to develop cooperative relationships and to ensure that client confidentiality is assured.
  • Assist co-workers in the completion of tasks and assignments to ensure continuity of service. Orient new co-workers and actively support teamwork throughout the organization.
  • Perform other duties as required.

PRIMARY QUALIFICATIONS

Education:

  • High School diploma required; Bachelor’s degree from an accredited four-year university preferred

Work Experience:

  • 2-3 years of experience managing or supporting donor databases, preferably Raiser’s Edge NXT.
  • 1-2 years of experience managing or supporting non-profit fundraising events (volunteer experience acceptable).
  • 1-2 years of experience supporting non-profit fundraising functions in an office environment.

  • Extremely detail-orientated, with superior follow-through.
  • Comfort interacting with a range of audiences: donors, vendors, internal team members, etc.
  • Ability to maintain confidentiality and discretion.
  • Ability to work independently as well as collaboratively with colleagues and partners.
  • Ability to prioritize appropriately when facing multiple responsibilities and tasks.
  • Excellent oral and written communication skills.
  • High degree of integrity and work ethic.

Preferred Skills and Competencies

  • Experience managing CRM software.
  • Event management experience, preferably with planning and/or logistics.
  • Adjusts quickly and effectively to changing conditions and demands.
  • Maintains a calm and professional demeanor with all internal and external partners.
  • Record of producing work that is highly accurate and demonstrates attention to detail.
  • Interest in a flexible role, with opportunities for cross-training
  • Takes a proactive approach to anticipating and preventing problems.

Travel

  • LEH is a statewide organization; some travel may be required.
