The Position
Responsible for performing operational support duties for the Facilities department by assisting the Sr. Facilities Manager and Director as directed and ensuring that all facilities, properties and office service functions operate effectively and efficiently. The Facilities Coordinator’s primary job duties include, but are not limited to the following: Daily coding and reconciliation of facility related OPEX/CAPEX invoices. This includes keeping detailed records for tracking, as well as administering invoices in the “iPayables Database”. Daily mail routine as needed which includes distributing and preparation of outgoing mail. This position also manages office supplies for the Facilities, Safety, and Fleet teams, as well as coffee, water, cleaning supplies, etc. The Facility Coordinator is also considered the “first” responder in administering the Facilities Trouble Ticketing System, on a daily basis. Being the first responder requires this position to be mobile, and have the ability to visit any of the Lumos buildings, to meet with Facilities team members, internal employees, or vendors. This includes coordination with internal employees and outside vendors for trouble resolution. This position is not limited to the information provided, there are also special projects that the Facilities Coordinator will be involved with, as needed. The Facilities Coordinator will act as a liaison between internal departments and the Facilities vendor(s) to ensure the highest level of customer satisfaction during implementation as needed and for ongoing support. The Facilities Coordinator will have an understanding of strategic planning, finance, budget, project management, and internal billing systems.

Duties & Responsibilities:
- Manage the day-to-day operational and tactical aspects of multiple large scale, cross-functional projects
- Manage projects to ensure that life, functionality, and growth requirements are met
- Manage scope, mitigate risk, identify and manage issues across multiple projects
- Develop, implement, and maintain processes and procedures related to Project management
- Manage project budgets. Proactively engage with project funding organizations to assure proper funding is available for projects and assure budget information is managed and reported in accordance with Lumos methodologies
- Develop and maintain effective professional relationships with internal and external customers, vendors, contractors, etc.
- Implement project reviews and quality assurance procedures in accordance with Lumos methodology to ensure successful execution of projects as measured by organizational goals and customer satisfaction
- Manage client and third-party engagements as required by project demands and needs
- Provide verbal and written feedback regarding processes, methods, technologies, proposed solutions, etc.
- Assure that new projects are deployed according to standards while minimizing cost.
- Manage the Help Desk by prioritizing and responding to request for repairs
- Solicit/quote, schedule and manage outside contractors for initial response and resulting projects.
- Securing vendor competitive quotes from contractors and suppliers for basic building needs, including janitorial, cooling, waste disposal, coffee and water.
- Process invoices and reports associated with troubles, scheduled maintenance, projects, invoices, and budgets
- Utilizing knowledge of troubles, expenses, projects, and budgets, develop and execute cost savings initiatives
- Mail & FedEx – Meeting drivers for daily deliveries and outgoing mail as needed
- Manage day to day departmental budgets
- Education/Experience: Associates Degree or three to five years’ experience, or equivalent combination of education and experience in related field.
- Minimum of 1-2 years of administrative and/or project coordination position. MS Office knowledge, especially with Word, Excel and Project.
- Ability to develop good working relationships with a wide range of people to provide high quality customer service.
- Ability to plan, develop and coordinate multiple projects.
- Ability to work independently with little oversight.
- Mechanically inclined and provides thorough troubleshooting remotely in attempt to address minor issues.
- Attention to detail and good organizational skills. Demonstrated clear, informative, persuasive and collaborative verbal and written communication skills.
- Must possess strong work ethic in supporting customer needs, responding promptly and consistently to manage varied and complex work load.
