OFFICE ADMINISTRATIVE ASSISTANT | JOB DESCRIPTION
GENERAL DESCRIPTION OF DUTIES
At LYNEN, the Office Administrative Assistant is responsible for supporting the efforts of the Lead Designers / Project Managers in any and all tasks related to the design and execution of projects. Must possess an aptitude for, and an interest in, both the administrative and design aspects of this business.
LOCATION
Napa, CA
SUPPORTING RELATIONSHIP
This position reports to the Lead Designers / Project Managers
AVAILABILITY
Part-time, hourly, available to work weekends, special events and holidays as needed
DUTIES & RESPONSIBILITIES
Uphold Lynen’s mission, vision, and values
Assist with the process of the design and project management, including
﹒Manage initial project phase (correspondence, schedule, document and report)
﹒Help with design phase (research, source, plan and present)
﹒Help with order phase (invoice, purchase, track and receive)
﹒Help with delivery and install phase (prepare, pack, lift and assist team)
﹒Manage final project phase (walk-through, photoshoot, analysis and review)
﹒Organize files and documents (projects, clients, orders and office)
﹒Manage design studio (supplies, products, material library and general maintenance)
﹒Meet with design partners (vendors, reps, contractors and installers)
﹒Local travel (showrooms, workrooms, shops and job sites)
REQUIREMENTS
﹒Strong organizational skills and excellent attention to detail
﹒Ability to perform and prioritize multiple tasks seamlessly
﹒Creative eye attune to the LYNEN design and vibe
﹒Ability to confidently make design related decisions
﹒Self-motivated, resourceful and willing to take initiative
﹒Thrive in a fast paced working environment with minimal supervision
﹒Able to decisively and efficiently resolve issues while remaining professional
﹒Strong professionalism with expert level written and verbal communication skills
﹒Must be a “yes” person who is willing to go above and beyond to accomplish the task at hand
OTHER SKILLS & ABILITIES
Experience and proficiency in MacOS, iOS, Click Up and SketchUp preferred
