Responsibilities:
- Supervise and manage office staff, including receptionists, clerks, and administrative assistants
- Manage office budget and expenses, including monitoring and approving invoices
- Coordinate and schedule meetings, appointments, and travel arrangements for executives
- Maintain office calendar and ensure timely completion of tasks and deadlines
- Answer phone calls, take messages, and handle inquiries with professionalism and excellent phone etiquette
- Handle incoming and outgoing mail, including sorting, distributing, and processing mail and packages
- Assist with clerical tasks such as data entry, filing, photocopying, scanning documents, etc.
- Communicate effectively with internal staff, clients, vendors, and other stakeholders
- Manage vendor relationships and negotiate contracts for office supplies and services
Requirements:
- Proven experience as an Office Manager or similar role
- Strong organizational skills with the ability to multitask and prioritize work effectively
- Excellent communication skills, both written and verbal
- Proficient in using Quikbooks office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of budgeting principles and experience managing office expenses
- Ability to supervise and lead a team of office staff
- Familiarity with front desk operations and customer service best practices
- Attention to detail and accuracy in all aspects of work
- Ability to adapt to changing priorities in a fast-paced environment
