The Patient Services Specialist (front desk associate/medical receptionist) position allows you to provide a welcoming environment to both our patients and physicians. This position also provides an opportunity to grow into other roles such as Ophthalmic Technician/Scribe or Surgery Coordinator. Our patient services staff report high levels of satisfaction with their roles at Advanced Eyecare Associates because they get to play a vital role in building relationships with our patients and creating a memorable experience for them. Though the days may be long and busy, they find the results to be well worth the effort.
Our patient services specialists (front desk associates/medical receptionists) greet and check in patients, verifying demographic information, obtaining signatures on patient consents, capturing insurance cards, verifying authorization accuracy, collect co-pays and past due balances, working reschedule and recall lists, and balance end of day deposits. This is a great position for someone who has customer service experience, regardless of industry. We will train the right candidate.
Position Responsibilities:
Obtain demographic information, including insurance and running for verification
Schedule appointments according to our company protocols
Obtain copies of driver’s licenses and insurance cards
Explain consent forms and obtain patient signatures
Collect co-pays, past due balances, and set-up payment plans as necessary
Process incoming faxes, scan documents into patient charts, and send for medical review
Send office notes/scheduling updates to referring physicians
Check out patients and schedule follow up appointments appropriately
Help clinical team coordinate outbound referrals
Balance cash drawer daily
Prepare nightly deposit
Work reschedule and recall list
Communicate frequently with clinical/optical teams
Other duties as assigned
Performed other duties as assigned:
Make sure kitchen, waiting rooms and restrooms are stocked and clean
Attend weekly department meetings
Process medical records requests; both incoming and outgoing
Understand HIPAA and can maintain confidentiality
Obvious enthusiasm and interest in required
Have an outgoing personality with professional demeanor
Have a true desire to learn and the ability to think critically
The ability to communicate effectively to employees and patients
Can make independent and accurate decisions
Have an attitude that reflects a desire to go beyond the minimum required duties
Understanding that dependent upon need there may be instances where he/she is asked to travel to satellite offices
Requirements
Required Qualifications:
Medical work experience is NOT required, but it can increase your starting rate
Demonstrated effectiveness showing courtesy, diligence, integrity, and teamwork
Strong interpersonal skills (effective listening, clear communication, effective customer problem resolution, warm demeanor)
Able to work long and irregular hours, and travel to different locations based on clinic needs
Ability to master ophthalmology terminology
Required to have reliable transportation between local clinics during the workday (mileage is reimbursed)
High School Graduate, or equivalent
Desired Qualifications:
Experience in a busy health care facility, optometry, ophthalmology and/or retina clinic
Certified Patient Services Specialist (CPSS) Certification
Bilingual in Spanish
Physical Demands:
Ability to view patient images and operate computer devices
Ability to converse with patients - speaking and hearing
Frequent use of a computer, keyboard, and mouse
Near constant standing and walking

Schedule varies depending on assigned role and/or assigned physician
Monday to Friday schedule; Opening and closing shifts at most locations
