ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Provide an outstanding Customer Experience to Salem Five customers and prospects
- Be able to demonstrate a high level of proficiency with Salem Five’s digital technology offering
- Proficient with mobile smart phones and downloading applications. This includes the basics of texting, email and application management
- Proficient utilizing desktop applications such as MS Office (Excel, Word, Exchange)
- Proficient utilizing the Internet (mobile and desktop) to search and locate information
- Embrace new and emerging technologies to support operations and customers through flexibility and the ability to learn and adapt to change
- Process cancellations and reinstatements.
- Log in Checkpoints.
- Process RMV1s and Surcharge Notices.
- Various clerical duties.
- Scanning and creating coversheets.
- Processing change of address for customers.
- Processing mortgage changes.
- Processing low mileage forms.
- Input data from RMV1s
- Process changes online with carriers.
- Assist CSRs with mail.
- Key changes to the companies and complete follow-up lists.
- Check download list daily.
- Process endorsements online with carriers.
- Follow up with policy endorsements for entire Personal Lines department.
- Internet keying/data entry.
- Prepare Registry paperwork for runner along with updating and follow up registry information in Instar System.
- Stamp and sign registration renewals for customers.
- Perform courtesy stamps of RMV1 forms for various runners along with collecting fees for services and faxing various information to other agencies.
- Coordinating UPS shipping for various overnight packages in Personal & Commercial departments. Verification and follow up on confirmation of deliveries for clients and Account Managers.
- Posting cash and check payments for Commerce, Hanover, Plymouth Rock, Peerless, and Vermont Mutual. Processing these various payments into applicable electronic systems. Verifying daily reports on payments.
- Answering billing inquiries for customers at front desk and on phone.
- Perform various clerical duties to include but not limited to processing, typing, photocopying, faxing and collating.Shredding of miscellaneous paperwork.
- Scanning for the Personal Lines and Claims department.
- Prepare daily outgoing mail for the agency and process through the postage meter. Prepare and process bulk mailings and incoming mail
- Assist with sorting, stamping and distributing declaration pages.
- Operate standard office equipment such as photocopier, typewriter, computers, printer, multi-line telephone, facsimile machine, postage meter and scale. Sort and mail all Personal Lines policies.
- Enter all RMV1 information to customers’ risk file for Personal Lines.
- Update and distribute department and company bulletins.
- Responsible for backing up front desk and for training new personnel at front desk in answering phones and assisting customers.
- Transprocessing RMV information in customers’ screens pertaining to recent vehicle transactions which have been processed at the RMV.
- Transprocessing appeal notifications to customers via email or letter instructing the customer the procedure for a surcharge appeal.
- Posting payments.
- Run daily reports on deposits and payments.
- Verify daily electronic fund withdrawals.
- Write and print various checks for customer advances, payments to Insurance Companies, and miscellaneous checks to Registry as requested.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Demonstrates compliance with banking business laws and regulations as defined in company policies and procedures pertinent to the position.
- Assist Personal Lines Account Manager in various duties as needed.
- Assumes additional responsibilities as requested.
- Regular attendance is essential to this position.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) and two to three years related experience and/or training; or equivalent combination of education and experience. Insurance knowledge would be helpful. User level - Microsoft applications (Word, Excel, Access, PowerPoint) and ability to operate office equipment including fax machines, printers and communication devices. Ability to perform effectively in an environment where confidentiality, maturity, sound judgment, initiative, and professionalism are required. Experience with Epic system an asset.
