Overview
Coordinate group room reservations and related functions with in-house departments, affiliates, and outside group contacts; including clients, planners, and individuals as required.
Responsibilities
Provide and maintain sincere, courteous, and knowledgeable service to all guests, clients, and team members. Be proficient in all areas of reservations and general operations of the hotel.
Maintain ownership of group blocks, including pickup numbers, reservation methods, billing, and proper treatment of VIP guests.
Follow department and task-related SOP’s for processing and handling of group housing and inventory, working closely with the Director of Revenue Management, VP of Hotel Sales, and each Sales Manager and Services Staff. Strive to obtain error-free and timely work and task quality.
Coordinate tasks and work with other departments; ensure work tasks are completed on time and that they meet appropriate quality standards.
Set up accounts, menus, and billing codes in sales systems (Delphi/Opera).
Interface positively with other departments, helping when needed.
Be empowered to make things go right if they go wrong.
Display care in the use of the equipment and maintains an organized and professional work environment.
Perform other job duties as assigned.
Follow all company policies and procedures; ensure uniform and personal appearance is clean and professional; maintain the confidentiality of proprietary information; protect company assets.
Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
Physical Requirements
- Flexible and long hours are sometimes required.
- Stand, sit, or walk for an extended period of time. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
Qualifications
Proficient in property PMS system Opera Group and Reservations systems, reports, and reconciliation/posting, as well as proficient in Delphi FDC (Sales Catering Software).
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and Adobe Suite.
Read and visually verify information in a variety of formats.
This position requires continuous teamwork as well as internal and cross-departmental communication.
