Job description
We are looking for a talented Executive Assistant with a passion for organisation, people and tech to work directly with our top management team.
In this critical role, you won't just be a cog in the machine—you'll be the grease that keeps it running smoothly. This team plays a crucial role in Mantu’s success. Your responsibilities will include the following:
- Communication & Coordination: Act as the primary liaison between board members and stakeholders, managing correspondence and communications with professionalism and discretion.
- Schedule Management: Oversee and organize calendars, including scheduling, prioritizing, and coordinating all meetings, conference calls, and appointments. This includes keeping the agenda clear 2/3 months in advance and organizing big events 6 months ahead.
- Travel & Event Planning: Arrange complex travel itineraries and logistics, ensuring cost-effectiveness, including booking travel arrangements and negotiating all related services.
- Meeting Preparation: Prepare and distribute agendas, presentations, and materials for meetings. Manage the preparation and follow-up of meetings, ensuring board members are well-prepared.
- Document Management: Liaise with the Legal team for document review and signatures. Ensure the efficient handling of paper and post tasks, including scanning and drafting communications on behalf of the CEO.
- Expense Management: Handle validations and uploads for expense reports, managing corporate expenses.
- Contacts and Relations Management: Maintain and update contact lists, ensuring proper follow-up of every meeting and securing sensitive information.
Qualifications
- Bachelor’s degree in administration or related field.
- Exceptional organizational, rigor, time-management, communication, and interpersonal skills.
- High level of discretion and confidentiality, with a professional and diplomatic demeanour.
- Proficient in Microsoft Office suite, tech-savvy with an interest in AI and ability to learn new technology and software quickly.
- Ambitious and driven, with a commitment to excellence and continuous improvement.
- Strong communication in professional English and French is a must, other languages are a plus.
- Previous experience working with C-level (CEO, COO, etc) or top management in an international organisation.
