The Sales Coordinator serves as the primary inside support for the sales manager, handling various administrative tasks to ensure smooth operations within the sales department.
This role requires strong organizational skills, attention to detail, and excellent communication abilities to provide exceptional customer service and support to both internal teams and external clients.
Key Responsibilities :
- Act as the primary inside support for the sales manager, providing information on lead times, material availability, inventory shortage dates, and special purchasing requirements.
- Review and address complaints, missing items, late shipments, change orders, and extreme customer dissatisfaction, escalating issues to the manager when necessary.
- Review major projects with the inside team, communicate questions, concerns, and recommendations to the manager, and exercise independent judgment and discretion regarding sales matters.
- Review incoming orders for accuracy prior to sales order entry, ensuring all required drawings, special order materials, and lead-time / shipping requirements are met.
- Mentor and review sales clerk order data entry to reduce errors and forward incomplete orders for further processing.
- Demonstrate strong product knowledge, including netting products, hardware, and general installation, and ability to read drawings, create simple drawings, BOMs, and follow production steps.
- Provide exceptional customer service, interact with customers, provide quotes, answer questions, and discuss complaints when the sales manager is unavailable.
- Initiate ISO9001 documentation per procedures and complete when necessary.
- Perform duties of the clerk to manage order overload and cover during the clerk's time off.
- Maintain ongoing communication with division assistant production manager to inform them of customer compliments and concerns, pending projects, and manage lead times for rush orders.
- Assist the sales manager with quoting, sending out samples, answering questions, and providing general customer service.
- Undertake other duties and projects as assigned.
Skills & Qualifications :
- 1-2 years of proven customer support experience.
- Strong accounting skills.
- Excellent phone contact handling skills and active listening abilities.
- Familiarity with CRM systems and practices.
- Customer orientation and ability to adapt / respond to different types of characters.
- Excellent communication skills, both written and verbal in English.
- Ability to multitask, prioritize, and manage time effectively.
- Accuracy and attention to detail.
- Good organizational and administrative skills.
- Proficiency in computer and keyboard skills.
- Ability to work independently and as part of a team.
- Quick learner and proactive responder.
- Minimum high school degree, AS degree in business desired.
