JOB SUMMARY
We are seeking a highly organized and detail-oriented Office Manager to join our team. The Office Manager will be responsible for overseeing the day-to-day operations of our office, managing administrative tasks, providing support to staff members and overseeing the company's policies and regulations. The ideal candidate will have excellent communication skills, be proficient in QuickBooks, and have experience in office management.
RESPONSIBILITES
- Manage and coordinate administrative tasks, including scheduling appointments, greet visitors and maintaining office supplies
- Oversee the maintenance of office equipment and ensure proper functionality
- Update and process weekly payroll by inputting necessary data that would be organized and collected in an efficient manner.
- Manage recruitment and staffing needs of regular and temporary employees
- Maintain employee records, payroll, and employee time clock system
- Administer employee benefits, 401K, vacation balances, salary increases, worker's compensation, and unemployment compensation.
- Review and approve invoices for payment including medical invoices, dental invoices, life insurance invoices, and temporary agency invoices.
- Handle employee complaints, grievances & disputes in a professional manner
- Respond and prepare verification of employment letters
- Assist managers during the hiring process by posting job openings, screening candidates and training of new staff members
- Maintain workforce: Addressing health, safety and worker-management issues, including compliance with federal workplace laws
- Design programs and procedures to ensure that all candidates, employees, and customers are treated fairly and without discrimination
- Maintain accurate records and files
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- Associate degree (A.A.) or equivalent combination of education and experience
- Knowledge of the principles and practices of HR management and payroll management
- Proficiency in payroll software Intuit QuickBooks is a must, knowledge of QuickBooks Accountant is desired
LANGUAGE SKILLS
- Ability to read and interpret employment law regulations
- Bilingual: English/Spanish
REASONING ABILITY
- Trusted to handle confidential information.
- Act as a mediator when employee conflicts arise.
TEAMWORK
Assist and coordinate with the office team; activities like answering the phone and assisting customers when Receptionist is not available.
PHYSICAL DEMANDS
