Position Summary: The Receptionist is responsible for overall front office and administrative duties, including the reception area, mail, purchasing requests, and building spaces. Expectations of this role include providing exceptional customer service to all internal and external clients and adhering to the core values and mission statement of MBW at all times.
Job Responsibilities, Duties & Essential Functions:
- Greets all visitors and directs them to the appropriate associates within the office.
- Answers and directs incoming MBW Main Line telephone calls to applicable employees.
- Manages the MBW Receptionist email account, including accurate and efficient correspondence.
- Performs clerical duties such as preparing documents, filing, faxing & scanning, ordering office lunches, managing conference rooms, and ordering, receiving, stocking, and distributing office supplies.
- Sorts and distributes incoming mail to proper employees and departments. Responsible for packaging mail for MBW departments, as well as coordinating the pick-up and delivery of express mail services (FedEx, UPS, GLS, etc.)
- Handles special administrative projects as directed by other departments in the company.
- Assist with the upkeep and alteration of office areas and equipment, as well as layout, arrangement and organization of office and breakroom spaces.
- Acts as office liaison with vendors & contractors with support from the HR & Executive Team Administrator.
- Ability to multi-task and prioritize a variety of time sensitive projects across various departments.
- Collaborates with the Operations Department with day-to-day facility needs (such as opening & closing the office, opening gate for deliveries, etc.).
- These duties are not exclusive and with consideration of the job requirements and employee’s skills, the job description can be added to or taken away from at the discretion of the employee’s immediate supervisor.
Education and Experience:
- Minimum of one year of administrative experience preferred
- High School diploma required
- Proficient in a variety of computer software applications including Microsoft Office Suite
- Must demonstrate a high level of attention to detail and have excellent organization skills
- Must be reliable and dependable
- Must have strong problem-solving skills & be solution focused
- Excellent verbal and written communication skills
- Ensure and maintain a high level of confidentiality and professionalism
- Demonstrate ability to work independently and as a team member
- Bilingual preferred
