Maryville Acupuncture/Tennessee Center for Reproductive Acupuncture is an Equal Opportunity Employer looking to add a long-term, full time office manager to our team of five practitioners and one part time office manager. Maryville Acupuncture is a busy, upscale clinic located 30 minutes from Knoxville, TN and about 20 minutes from the Smoky Mountains. We also have an upscale fertility-focused practice in Knoxville called the Tennessee Center for Reproductive Acupuncture.
We are a collaborative team driven by excellent patient care and professionalism. The office staff guides the general clinic flow and organization, so practitioners can primarily focus on patients during treatment. Tennessee Center for Reproductive Acupuncture was founded in 2016, and Maryville Acupuncture was founded in 2019. Both clinics continue to grow and evolve and we are excited to bring someone on the team who supports our continued evolution.
Full time work requires 30-40 hours per week. Your primary office location will be in Maryville with 1-2 days per week in Knoxville. The Office Manager is an integral and active part of our small business. Hours can be flexible, but we require a set schedule weekly, and 1-2 shifts a week will end around 6-7pm. We require a 60 day trial period to ensure we are a good fit for each other. Will provide a paid training period based on experience.

- Fluency in the English language
- Attention to detail
- Proficiency in Mac operating systems, EHR/EMR systems (we will train on our specific system), billing procedures, Google Suite, and social media platforms. Preference for experience with Canva.
- Preference for candidates with a marketing and/or social media background or interest
- Willing to submit to a background check

Role:
- Ensure a safe and clean clinic environment, adhering to OSHA regulations, Blood Borne Pathogen training, and CDC guidelines for COVID-19
- Physical ability to perform tasks such as lifting up to 30 lbs., laundry, changing sheets, bending, and standing/walking throughout the day
- Manage day-to-day clinic needs effectively
- Participate and support scheduling of staff trainings, meetings, and grand rounds
- Answer phone calls, voicemails, and emails and attend to patient needs
- Schedule appointments in person or over the phone, including managing room assignments
- Accurately take and enter payment information and billing details
- Perform basic office cleaning and organization
- Maintain staff schedule and manage vacation requests in coordination with clinic owner
- Contribute to patient retention and re-activation
- Safeguard client confidentiality according to clinic policy and HIPAA laws
- Cultivate and maintain professional and ethical relationships with patients
- Collaborate with practitioners/patients to maintain timeliness of the clinic schedule/appointments
- Coordinate and help facilitate staff meetings/trainings and maintain a supportive/inclusive workplace culture
- Plan and organize community engagement and events in collaboration with the owner
- Create handouts and other materials as needed
- Supply restocking and inventory management
- Wash and fold sheets
- Prepare/change patient rooms, and guide patients to appropriate room upon their arrival
- Duties may vary and additional responsibilities may be assigned as needed

- Starting pay range: $16-18/hour depending on experience
