JOB SPECIFIC COMPETENCIES
Administrative
Lead meeting(s), take meeting note(s) and prepare minute(s). Prepare all confidential paperwork with discretion priority, reroute or respond as appropriate Create, modify, and maintain historical file(s) and ongoing active project file(s). Participate(s) in the interview, selection, mentoring/training process for employee(s). Perform annual employee performance appraisal(s). Provide high level administrative support for departmental administration and/or departmental faculty. Create, format, compile report(s), presentation(s), generate manuscript(s), abstract(s), grant document(s), and other document(s) as needed. Perform other duties as required to support faculty and departmental operations. Perform some and/or all of the function(s) of a Sr. Administrative Assistant and Administrative Assistant. Provide administrative support coverage and/or back-up assistance as assigned/needed to ensure activities, phone coverage and assignments are maintained. Responsible for performing advanced administrative and supervisory functions. Provide oversight and supervision of administrative activities which impact the day-today operations and efficiency of the department for assigned personnel engaged in difficult and diversified administrative duties. Assist(s) in developing training opportunities for employee(s). Monitor workflow, provide input for coverage and scheduling of assigned employee(s). In consultation with one and/or all department leadership/manager/administration, address performance, behavior and attendance issues in accordance with institutional/divisional/departmental policies. In consultation with one and/or all department leadership/manager/administration, coach and counsel employee(s) and, when required, implement the disciplinary process within institutional/divisional/departmental guidelines. Ensure the appropriate and efficient utilization of all personnel, providing timely and ongoing performance feedback in order to maintain required standards and achieve stated goal(s). Coordinate, monitor, assist with assigned departmental projects as required. Kronos timekeeper. Process leave both accurately and timely to ensure that document(s) are processed/approved prior to date of leave and that information is entered correctly in the timekeeping system. Assist in establishing performance and productivity standards for employee(s). Recognize and reward the accomplishment(s) of employee(s). Responsible for correct completion and routing of institutional/divisional/departmental forms Assist in developing and maintaining departmental process(es) and document form(s). Compose complex correspondence, often of a confidential nature, from basic information and routes appropriately.
Financial
Monitor, track, reconcile, and attest financial funding sources. Process accurate and timely travel expense reports to ensure that the traveler is reimbursed promptly. Create, process, and track purchase orders, expense reports, etc.
Research
Create and maintain Chairman's CV, Other Support Page and NIH biosketch in appropriate institutional format using institutional software and other software as needed. Edit and proofread document for errors and consistency. Responsible for updating information, on a monthly basis, by the last day of each month. Create, submit, and track patient material
High school diploma or equivalent. Seven years of administrative clerical experience to include one year in a supervisory role. Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience. Must pass pre-employment skills test as required and administered by Human Resources.
