Job description
Commercial HVAC contracting office looking to fill a Service Coordinator position Mon-Fri 8:00-5:00.
Tasks & Responsibilities:
Service Industry Exp. Required - previous exp. such as Electrical, Auto, Landscaping.
QuickBooks exp. required for Client billing & Vendor Info.
Ordering parts.
Billing Clients based on service tickets and proposals.
Answering multiple phone lines in a friendly & professional manner: screening calls, receiving and logging in service calls and information from Clients.
Coordinate calendar: due dates, meetings, schedule maintenance of client properties.
Create Work Orders to dispatch service technicians based on service call information received over the phone by Clients.
Update pipeline of projects.
Assist and respond to Client inquiries by email or phone in a professional manner and conduct any follow up phone calls if needed.
Type letters, proposals, service estimates, maintenance agreements.
Service Call Management:
Receive and log service requests from clients and project managers.
Analyze service requests to determine the the appropriate course of action.
Dispatch technicians or schedule service appointments for warranty work, repairs or maintenance.
Maintain clear documentation of service requests and service completion records.
Upload notes and photos in CRM.
Qualifications:
Excellent communication skills & have the ability to speak to anyone in a professional manner in person or by phone.
Must be able to multitask.
Must be able to work well under pressure in a fast paced working environment and adapt to any situation.
Excellent current computer skills: Gmail, Word. Must be able to create tables and modify templates to create professional Word documents.
Must be tech savvy and able to set up operate tablets/iPhone.
Must have Excellent Proofreading skills and take pride in work.
Must be a highly organized, resourceful self-starter and be able to work as a team.
Must be able to prioritize workload.
Ambitious and eager to learn and able to take direction.
Must be able to follow company procedures.
Dependable, punctual and reliable.
Must be able to start at 8:00 am everyday -excessive lateness will not be tolerated.
