What are the responsibilities and job description for the Executive Assistant to CEO position at Medlink Georgia, Inc.?
ESSENTIAL DUTIES AND RESPONSIBILITIES (include, but are not limited to, the following):
- Coordinates and maintains the CEO's activities calendar
- Makes travel arrangements for staff and visitors as required
- Distributes updated documents and procedures as requested
- Coordinates the approval of and mailing Patient Dismissal Letters
- Serves as Board of Director’s liaison
- Takes responsibility for all aspects of monthly Board meetings including organizing the meal, ensuring the remote teleconferencing connection, preparation and distribution of Board packages in advance of meeting date, etc.
- Assists CEO in preparation of monthly Board meeting agenda
- Assists CEO and Board leadership in solicitation of new Board representatives
- Updates Board records and member information as necessary
- Assists CEO and Board leadership in the organization and coordination of special off-site activities, i.e. annual meeting, planning sessions, Board training sessions, etc.
- Attends monthly board meetings, records and transcribes minutes. Sends minutes for Board Secretary's approval
- Serves as first point of contact for the administrative office, i.e. answers telephone, greets visitors
- Picks up and distributes incoming mail for administrative office
- Prepares outgoing mail: certified, UPS, etc.
- Assists with the company website and employee SharePoint portal as needed
- Schedules meetings as needed and reserves the use of the Conference room
- Updates contact lists: Site information, administrative staff, vendors, etc.
- Maintains the Corporate mailing list
- Coordinates special events and community activities for the corporation
- Coordinate corporate events and sponsorship of events.
- Maintains the office equipment repair and service schedules
- Coordinates office supply and equipment orders for administrative office
- Maintains break room equipment and supplies for the administrative office
- Supervisory responsibilities from time to time may supervise the work of part-time, student and/or temporary employees hired to support the clerical functions of this position.
- Other duties as assigned

- Working knowledge of computer word processing and graphics software programs
- Working knowledge of basic office procedures and equipment

- Demonstrated ability to interact in a businesslike manner with professional staff, support staff and Board members, as well as patients and members of the general public
- Demonstrated ability to organize and implement projects and events
- Ability to work independently and handle multiple tasks
- Detail-oriented
- Ability to establish and maintain effective working relationships
- Ability to maintain confidentiality and privacy in all interactions
- Excellent verbal and written communication skills
EDUCATION and/or EXPERIENCE
Bachelor's Degree in business or a related field AND one year's senior administrative or project management experience OR graduation from an accredited technical school AND two years senior administrative or project management experience; OR high school graduation and significant experience in senior administrative or project management.
