Position summary:
Primarily supervises front office team members to ensure efficient and smooth operations for producing excellent feedbacks and guest satisfaction. Responds in a professional and courteous manner to guests by providing accurate and timely information and services.
You will also ensure charges are processed diligently to guest's accounts, invoices are accurate, billing instructions are verified and all necessary supporting bills documents are attached for direct settlement
FRONT DESK SUPERVISOR DUTIES AND RESPONSIBILITIES:
· Ensure Outstanding customer care at all times.
· Maintains a friendly, cheerful and courteous demeanor at all times.
· Courteously and accurately answers inquiries from potential guests and accepts retreat reservations
· Responds to telephone and in-person inquiries regarding reservations, retreat information and guest concerns.
· Uses suggestive selling techniques to sell room nights and activities and to increase occupancy and revenue.
· Train, direct the work of, resolve issues/problems and coach and counsel the front desk team members to ensure a quality operation.
· Resolve customer issues, complaints, problems in a quick, efficient manner to maintain a high level of customer satisfaction and quality service.
· Build strong relationships and liaise with all other department's especially housekeepingchefs and guides etc.
· Physically checks the guests into their respective accommodations and thoroughly go through the operation of each accommodation i.e., hot tub, fire place, bowling lanes, music etc.
· Handles group arrivals and corporate market segment groups and pre-registers each guest and ensures payment is made in full for the group or that billing is correct
· Cross Check all billing instructions are correctly updated
· Participates in setting yield management strategies, marketing programs and rates
· Performs other duties as assigned, requested or deemed necessary by management.
· Ensure Front office log book and hotel log book is always updated and actioned upon.
· Assist all departments in servicing the guests during high volume periods.
· Oversees the Reception and ensures the area is clean and guest ready at all times
· Attends meetings as required.
· Ensures front desk supplies are stocked and computer equipment functioning properly.
· Takes responsibility in the absence of the Manager
· As a supervisor you will be a role model, sharing your expertise and continually inspiring the front office team.
PREREQUISITES:
· A positive attitude and excellent communication skills.
· Experience of motivating and leading a winning team. Ability to remain calm whilst under pressure
· Work experience as Front Desk Representative or Front Desk Cashier is requested as well as previous supervisory experience in a similar position.
· Bachelor’s degree preferred. High School Diploma required.
· Computer knowledge and experience in Microsoft office applications such as excel and word is also required
· This position is a working supervisor position. Evenings, weekends and holidays most likely will be required.
