GENERAL PURPOSES:
Performs general office work to assist Administrator and Facility Controller with administrative and clerical responsibilities; day-to-day accounting functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
ADMINISTRATIVE SECRETARIAL FUNCTIONS:
Assist the Administrator and Facility Controller by providing administrative and clerical support; answer telephones, take and distribute messages, interview direct callers, schedule appointments; obtain and type admission data from the patient’s family; process mail and ensure that the office and office machines are maintained in a clean and safe manner.
PAYROLL FUNCTIONS:
Assist in the payroll aspects of the facility; enter associates into the payroll system before the end of the pay period; obtain verification of all overtime reported; prepare and submit payroll at the end of each pay period; obtain written authorization for all miscellaneous payroll deductions; distribute paychecks.
PERSONNEL FUNCTIONS:
Oversee recruitment of potential employees and finalize hiring of prospective staff members. Prepare, administrate and maintain associate files, including associate information and record keeping, and auditing Human Resources files annually as required. Prepare personnel record audits as requested by Administrator. Ensure completion of necessary personnel record forms as required by Company policy and local, state and federal laws and regulations. Oversee recordkeeping so that all personnel records are accurate and complete, and manage the flow of up-to-date personnel information between departments as needed. Assist in associate benefit administration record keeping.
COMPLIANCE FUNCTION:
Ensure ongoing compliance with all laws and regulations; ensure that the department meets or exceeds accreditation standards; and implement best practices in all departmental activities. Participate in surveys conduction by authorized inspections agencies.
RESIDENTS’ RIGHTS FUNCTIONS AND POSITIVE RELATIONSHIPS:
Understand, comply with and promote all rules regarding residents’ rights; promote positive relationships with residents, visitors and regulators and associates, to include presenting a professional appearance and attitude.

MEETING AND COMMITTEE FUNTION:
Participate in all meetings and committees as requested.

QUALIFICATIONS:
- Completion of high school education and able to follow oral and written directions at a level necessary to accomplish the job.
- Must be able to relate positively and favorably to residents, families, and government regulators, and to work cooperatively with other associates.
- Must be capable of maintaining regular attendance.
- Must have knowledge of office machines and equipment and be able to type at least 45 words per minute and use a 10-key calculator.
- Must be capable of performing the Essential Job Functions of this job, with or without reasonable accommodation.
- Related administrative experience at a level necessary to accomplish the job.
