The Middlesex Sheriff’s Office will be considering applicants for the following employment opportunity : Human Resources Coordinator The Middlesex Sheriff’s Office ( MSO ) is seeking a qualified professional for the position of Human Resources Coordinator ( Coordinator ) to work in the Human Resources Department at the Administrative Office located in Woburn, MA.
The hours of work will be 9 : 00a.m. to 5 : 00p.m. on Monday through Friday and subject to change based on the discretion of management and the needs of the Human Resources Department.
The Coordinator will be responsible for employee onboarding, maintaining employee personnel files and data-entry within the MSO and Commonwealth of Massachusetts Human Resources Compensation Management System ( HR / CMS ).
The Coordinator will also be responsible for employee compliance with all MSO human resource policies and procedures. The Coordinator must maintain current knowledge of HR / CMS and applicable Commonwealth of Massachusetts Human Resources Division ( HRD ) guidelines.
This is a full-time, non-exempt, at-will employment position. This position reports directly to the Assistant Director of Human Resources.
- Additional duties and responsibilities of the Coordinator include, but are not limited to : Processing internal and external job bids and postings in accordance with MSO policy and procedure applicable collective bargaining agreement parameters;
- Assisting with internal and external interview process for employment; Assisting with employee recruitment and staffing logistics;
- Facilitating and processing all federal and Commonwealth of Massachusetts statutorily authorized leave for all MSO employees;
- Processing accrued leave reports for all employees and potentially processing appropriate levels of discipline per collective bargaining agreements and MSO policy and procedure;
- Administering the MSO benefit incentive testing and classes, promotional examinations and other benefits noted in collective bargaining agreements;
- Providing data and information for labor negotiations; Participating in weekly in-service training for all MSO employees;
- Interpreting labor contracts and administering benefits in accordance with collective bargaining agreements. Assisting other Coordinator(s), when needed, with the processing of health / dental / vision / life insurance inquiries from employees all employee issues regarding industrial accidents and associated workers compensation benefits;
- Assisting MSO management with the responses to union grievances regarding contractual benefits; Completing and submitting required reports to comply with federal and Commonwealth of Massachusetts reporting requirements;
- Ensuring compliance with all American Correctional Association ( ACA ) accreditation reporting requirements pertaining to human resources;
Working with Legal, Payroll and other managers to address employee issues; Processing requested employee verifications; Performing other related work as assigned by the Assistant Director of Human Resources or other employees of higher rank / grade.
WORKING CONDITIONS : Occasionally will be required to meet and work with employees in a correctional setting. The individual selected must be cognizant of the confidential and sensitive nature of a law enforcement agency with the ability to maintain confidentiality for all employees.
- QUALIFICATIONS : Bachelor’s degree preferred; Two (2) or more years’ experience in a human resources environment; Exceptional phone etiquette and active listening skills;
- Strong customer service, conflict resolution and diplomacy skills and able to solve problems and de-escalate situations in a timely manner;
- Strong research and analytical skills; Proven ability to follow up clearly and promptly with staff and management; Ability to build and maintain collaborative relationships with internal and external stakeholders;
- Strong oral, written, organizational and time management skills with the ability to maintain comprehensive and cohesive records;
Proficient in Microsoft Word and Excel. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire.
Must have an active valid driver’s license, the right to legally operate a motor vehicle in Massachusetts and pass a criminal background check, which includes medical, drug (including marijuana) and psychological screenings.
