Position Concept:
Reporting to the Human Resources Manager, the Human Resources Assistant will be responsible for a variety of tasks, including but not limited to, filing, documentation, posting on job boards, onboarding and offboarding part time staff, scheduling meetings and events, research, planning and leading parties/activities, and reviewing documents for accuracy and compliance.
Duties and Responsibilities:
Document Review/Management:
· In conjunction with the Human Resources Manager, the Human Resources Assistant will be responsible for assisting in document reviewal to ensure all personnel files are up to date, and include all necessary information. This includes creating new files as new hires are brought on, updating i-9 files and background check files, printing the necessary documents, and ensuring that files are moved after termination.
· In conjunction with the Human Resources Manager, the HR Assistant will be responsible for assisting with various day-to-day processes such as running background checks and helping gather various report information. There will be a variety of pop-up tasks assigned.
· Organize and review G drive folders and information.
· Process/review/retrieve information on Paycor.
Recruitment and Onboarding:
· Post on job boards after HR Manager approves and sends the job description.
· Format job descriptions as assigned for consistency and accuracy.
· Monitor job board postings and assist hiring managers with their search as assigned.
· File new hire paperwork and ensure all files are complete and up-to-date.
· Print background checks.
· Create badges for contractors.
· Assist when needed in the creation of badges for employees.
· Act as backup for creating volunteer and student badges.
Other Duties as Assigned Including but not Limited to:
· Research as needed and assist in preparation of reports, presentations, and creation of initiatives.
· Onboard and offboard part time staff. Act as backup for onboarding and offboarding full time staff.
· Become knowledgeable in Paycor and assist with the upkeep of the HRIS system. This includes but is not limited to: creating reports; completing an employee’s file (PTO, status changes, and more), access, and policy groups; finding information and documents on Paycor to complete the physical file; and chatting/calling Paycor representatives as needed.
· Assist and or/lead in preparation for various events (birthday celebrations, anniversaries, etc.).
· Maintain knowledge in creating events on Artifax.
· Assist as needed with DEIA (Diversity, Equity, Inclusion, and Access) administration and/or initiatives.
· Collaborate as needed interdepartmentally, including but not limited to, updating master excel file with employee data, sending forms to IT and facilities, and more.
Qualifications:
· Able to maintain a high standard of confidentiality.
· Excellent organization, communication, and problem-solving skills supporting the ability to prioritize and get responsibilities done accurately and in a timely fashion.
· Preferred someone who can work Monday, Tuesday, Thursday, and Friday. Hours can be determined by employee as long as they are somewhat consistent and within 7-5 schedule.
Education and Experience Requirements:
· At least 2 years of experience in Human Resources or related field.
