Mixed Animal Veterinary Practice Manager
Job Summary
The Practice Manager is responsible for effectively managing the veterinary office activities to deliver the best possible client experience while achieving business goals for growth and profitability. This is a leadership position requiring the ability to apply specialized principles of business and practices of veterinary practice management in directing daily operations. Areas of oversight include daily operations, client relations, team building, workflow optimization, inventory management, performance management, and facility and equipment maintenance.
Client Relations & Patient Care
Promotes a client-centered environment and facilitates policies and processes both to meet client needs and support clinic philosophies
Reviews appointment calendar daily and modifies to accommodate and prioritize patient appointments
Communicates any appointment modifications to clients and offers solutions to meet each patient’s needs-
Resolves financial problems including payment issues and delinquent accounts
Functions as a contact person for clients concerning complaints or problems that the client may be experiencing with the clinic
Oversees and manages Mill Valley Veterinary Clinic’s day-to-day operations while maintaining the common goal for growth and development of the clinic and business
Performs all duties as necessary to ensure the clinic functions as a cohesive unit including phone backup, surgical admits/discharges, client follow-up and conflict resolution, veterinary technician and client service representative functions
Oversees and manages clinic staff
Promotes a cooperative working environment for team members; motivates staff and builds morale
Monitors job descriptions and task lists for compliance
Schedules all clinic staff to ensure proper shift coverage
Assists and fills in when vacant positions arise or when clinic flow warrants
Plans and organizes staff placement and daily tasks
Manages employee training, development and performance reviews including providing feedback on overall work ethic and quality, and gives input for improvement
Maintains compliance to uniform standards
Enters all staff invoices with appropriate discounts
Keeps Practice Owners aware of all potential conflicts or staff related issues
Assists Practice Owners and Veterinarians with other tasks as needed-
Oversees and manages clinic operations
Ensures all licensure, documentation, and codes are up to date
Runs daily and weekly reports of the clinic
Maintains, tracks, and submits clinic expenses and budgets
Inventory management including receipt, stocking, secure placement and monitoring supply levels
Evaluates systems and makes recommendations to streamline productivity and optimize efficiency
Oversees and manages facility maintenance
Coordinates and schedules exterior maintenance as needed including landscaping, snow removal, trash disposal, etc.
Ensures proper maintenance of facility and equipment, and updates Practice Owners of any repair/replacement needs
Ensures proper housekeeping for reception/exam areas and exterior of facility
Maintains clinic vehicles, schedules regular maintenance and repairs, and completes registration and licensure procedures
Fosters vendor and sales representative relationships
Researches available vendors and sales representatives for clinic operations and compares pricing, quality, and delivery of products
Manages clinic processes - ezyVet, Gmail, Drive, When I Work, and other online tracking systems
Social media & website management
Manages and promotes social media accounts including Instagram and Facebook
Administration & Organizational Growth
Aids in the development and promotion of the Mill Valley Veterinary Clinic website (http://www.millvalleyvet.com/)
