What are the responsibilities and job description for the Dispatch Warranty Administrator position at Mingledorff's?
Job Purpose:
To dispatch and support Technical Service Managers and to give warranty support to dealers and other departments
Job Duties and Responsibilities:
- Dispatch Technical Service Mangers to jobs with startups using phone/computer to direct them to appropriate sites
- Maintain and organize work requests, customer requests, completed work requests and other information which would include updating / maintaining job startups
- Accurately relay information, such as work orders or other messages to/from Technical Service Manager, contractor, and TM’s work crew in a timely manner
- Bill and record charges for work and performed and expenses for services performed
- Assess situations and prioritize calls/jobs
- Coordinate schedules in the most effective manner
- Communicate within the company to assigned districts, Territory Managers and contractors
- Work with Data Specialist on reports
- Report to Manager daily/weekly on issues and scheduling details
- Provide backup support for the warranty group (phones/emails)
- Troubleshoot when issues with claim entry into Service Bench arise. Review claims that have been entered by dealer or at the branches to determine what the problems are causing the claims to reject. Communicate issues to Carrier to get issues resolved
- Work various reports to get warranty claims to process and the dealer credit
- Generate credits to customers for warranties
- Maintain various spreadsheets to keep a backup record of report results
- Work with other departments to resolve dealer account issues related to startup and warranty
- Ability to work under stress and remain calm during rapidly changing circumstances
- Up to 20% travel required to various meetings
- Maintains regular, punctual and reliable attendance
- Works cooperatively with others
- Comply with all company policies and procedures

Qualifications:
- High School Diploma
- 3 years of experience working in a fast paced, multi-tasked office environment
- 3 years dispatching experience
- Advanced Microsoft Office skills
- Ability to work under stress and remain calm during rapidly changing circumstances
- Possess a valid driver’s license
- Possess a satisfactory driving record as determined by Company Driver Policies
