THE ROLE
The Virtual Assistant works diligently behind the scenes to keep our operations transparent in numbers, our records crisp and clean, and takes on projects of all sizes for our Executive Team to make important decisions that are backed by facts! While buried deep in spreadsheets, project management, contract pricing, email management and reporting, your role is crucial to the overall success and fiscal health of the company. Duties of a Virtual Assistant include:
- Execute project management and drives accountability
- Manage executive team’s calendars in order of importance
- Facilitate accounts payable and receivable tracking and supporting bookkeeping.
- Preps executive team for upcoming meetings and events
- Creates follow up item agendas with due dates for meetings
- Delegates projects and tasks to management team
- Build reports and prepare proposals and presentations as needed.
- Manage emails, letters, packages, phone calls, and other forms of correspondence on behalf of the company and the CEO.
- Maintain vendor contracts.
- Take ownership of various special projects that support the company’s growth and development.
- File for and maintain licenses, certifications, and fees on behalf of the company.
- Other duties as assigned by the Executive Team.
Required skills:
- Self-directed, independent, and demonstrates excellent time-management skills.
- Numbers-driven and analytical.
- Well versed in advanced technology (Open AI, BambooHR, Asana, Monday.com)
- Meticulous, task-oriented, organized, thorough, and consistently proves great follow-through.
- Professional written and verbal communication skills.
- Exhibits a sense of urgency while flipping between projects and maintaining an awareness of priorities and deadlines.
- Tech savvy and proficient in Google Workspace (sheets, docs, slides, etc).
- Naturally carries a “can do” attitude.
- Previous experience with Toast POS reporting and/or Square reporting, a plus.
- Remote work from home position
- 2 years experience as an office assistant, office administrator, administrative assistant, or in another relevant position within the hospitality industry.
- Previous payroll and bookkeeping experience preferred. (ADP)
