Job Duties:
Sales Support
- Assist with phone coverage and general email inquiries
- Assist sales with proposals, product research and technical order information as needed (COM requirements, custom requirements, etc.)
- Understand special pricing contracts (State, UW, Vizient, GSA, etc.)
- Understanding of different manufacturers freight, fees, and various surcharges
- Manage basic client issue resolution with minimal support
- Receive customer requests, manage customer expectations and communicate/delegate issue to internal team members
- Clearly communicate deliverables, customer requirements and timeline needs to ensure we are in a position to execute a successful project
- Obtain customer decisions, feedback and approvals in support of project timelines
- Obtain signed proposals and approvals as needed
- Review order for basic information, accuracy, and completeness (billing, shipping, contract details, etc.)
- Create/import SIF files into Core business software
- Understand various manufacturer policies for order entry process
- Ensure all pertinent information is shared with manufacturers (SPIFS, due dates, call before, etc.)
- Generate purchase orders with manufacturers
- Assist in resolution of hold order questions
- Facilitate order changes between customers and manufacturers
- Check acknowledgements against orders, resolve any discrepancies with manufacturer in a timely manner
- Populate order acknowledgement details and documentation into Core. Communicate order information to project manager and regional director as needed
- Main point of contact with client throughout post sales process when no PM is assigned
- Main point of contact with vendor throughout project cycle
- Ensure all documentation is collected and filed appropriately
- Process change orders as needed
- Process order acknowledgements for regional directors and installation partners. Distribute with install expectations and drawings when applicable
- Prepare work orders as needed
- Process returns as needed
- Complete claim, warranty and punch list orders as needed
- Communicate to installers any rework and ship dates as needed
- Work with project manager, installer, and regional director to alert accounting for final invoice submission. Verify invoice amounts and balance due
- Bachelor’s or Associate's degree in related field, which may include design, business administration, computer science, or similar
- 2-4 years of related experience with
