Qualifications

  • The ideal candidate will be a local from the Bay Area with several years of prior EA experience
  • Several years of experience in an executive administrative support role to a senior executive
  • Four-year degree
  • Excellent communication skills, high integrity, and the experience, confidence, and presence to work with all levels of the firm including external counterparts
  • Positive attitude, no task too big or too small
  • Strong time management skills; ability to handle multiple concurrent assignments with a high degree of accuracy and meet deadlines
  • Ability to think independently and provide creative solutions
  • High EQ with an ability to diplomatically navigate complex situations
  • Expert experience with Microsoft Office/Google Suite required

Responsibilities

  • This position will handle core executive assistant duties as well as a wide array of other responsibilities including personal calendar support and special ad hoc projects
  • Own and proactively manage a complex, changing, high-volume calendar across multiple time-zones, both professional and personal for the managing director
  • Conference room scheduling and organization, including presentation support
  • Coordinate extensive domestic and international professional and personal travel
  • Ensure seamless flow of the day-to-day activities and manage all related components
  • Proactively and strategically coordinate internal and external meetings
  • Work collaboratively with the other Altos Ventures colleagues across the firm
  • Create and implement processes and systems to elevate efficiency and effectiveness of administrative processes
  • Event management backup support as needed
  • Work with partners to identify and implement improvement opportunities, as needed
  • Timely responsiveness outside of “regular” business hours
  • Shared front desk reception duties for regular office hours to include answering phones and receiving visitors, approx. 1x a week
