POSITION: High School Registrar

REPORTS TO: Principal


SUMMARY:
Under the supervision of the principal, provide information about the school leading to the enrollment of students and maintenance of student records.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Organize and perform admissions and registration
  • Review and compile student admission applications and related documents
  • Assist with the collection of all paperwork by responding to specific questions during the form completion process, and follow up on missing forms until file is complete
  • Review, compile and update student credentials needed for admissions status and monitor progress of applicants
  • Coordinate the preparation and distribution of school publications pertaining to admissions and enrollment
  • Assist in all admission special events such as open house, career day, orientations and high school tours, as assigned
  • Communicate and cooperate with school guidance counselors to assist students
  • Develop and maintain recordkeeping systems and procedures
  • Oversee grade and transcript processing
  • Coordinate academic information for graduation clearance
  • Maintain academic records, verify enrollment, coordinate graduation, and implement applicable student policies in accordance with accreditation standards and federal and state law, administrative rules and Board policy pertaining to privacy
  • Compile statistical information and prepare reports
  • May monitor academic standing, coordinate probation and suspension actions and administer the dean’s lists
  • Resolve problems regarding the management of student records
  • May lead, guide and train staff, students, interns and volunteers performing related work
  • Advise students, parents and faculty on academic advising procedures, as well as financial aid policies, procedures and eligibility requirements
  • Coordinate the grade petition process and respond to inquiries concerning academic performance
  • Provide administrative support, which may include scheduling meetings and events, maintaining various office files, initiating and drafting correspondence and other related duties
  • Keep immediate supervisor informed of activities and any issues that may arise
  • Attend faculty meetings as required
  • Assume responsibility for his or her continuing professional growth and development by attendance at in services or trainings
  • Seek assistance should emergencies arise
  • Represent the school district in a positive manner
  • Know and follow school district policy and chain of command
  • Perform other duties as assigned

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

  • High School Diploma or GED required
  • Previous registrar experience preferred


KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of work processing, data bases, spreadsheets, and reports
  • Knowledge of admissions, enrollment and student records for an educational organization
  • Knowledge of student retention issues, as well as the federal and state law, administrative rules and Board policy regarding student records
  • Knowledge of admissions standards
  • Ability to gather and analyze statistical data and generate reports
  • Knowledge of automated office equipment and efficient office procedures
  • Strong telephone skills and ability to communicate effectively
  • Works well with students, staff, and the public
  • Excellent organizational skills
  • Excellent interpersonal and communication skills
  • Able to work under pressures and deadlines
  • Maintain confidentiality of staff and students


COMMUNICATION SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to read, analyze and interpret governmental regulations and legal documents. Ability to write routine reports and correspondence. Ability to effectively present information and respond to questions from employees and/or the general public. Ability to communicate in English and Spanish is preferred.


PROBLEM SOLVING SKILLS:

Demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns.


PRODUCTIVITY/EFFICIENCY SKILLS:
Consistently demonstrate ability to respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work as necessary; organize job functions and work area to be able to effectively complete varied assignments within established time frame.


MATHEMATICAL SKILLS:

Ability to conduct basic math functions, as well as manipulate formulas in spreadsheets.


REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form. Ability to define problems collects data, establish facts, and draw valid conclusions.


OTHER SKILLS AND ABILITIES:

Knowledge of a variety of computer software applications in word processing (Microsoft Office), spreadsheets (Excel), database (Access), presentation software and accounting/financial software.
