Office Administrator

National Electronic Alloys is an Oakland, NJ-based business that specializes in specialty alloy distribution. We are looking for an Office Administrator to provide administrative and clerical services. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure.

Duties include but are not limited to:

Main Responsibilities:

- Mail

o Remove checks to be deposited to the bank and deposit them

o Check freight bills

o Prepare an envelope with all relevant mail to send to our bookkeeper(Lisa)

- Answer Phones

- Print Orders from Sales

- Respond to customers’ requests for paperwork

- Fill Orders

o Make weight adjustments, print packing slips, print certs, print labels, complete bin transfers

o Scrap material and create baby tickets from material remnants

o Prepare if necessary: COC, USMCA, Korean Free Trade Agreement, SLI, SED, AES ITN# filing, Israel Declaration, and China Declaration

o Process credit card payments as needed

o Confirm shipping method with customer (process subject to change)

- Receiving (a few times per week)

o Check paperwork for accuracy

o Receive material, create tickets, and create certs

o Scan mill certs and attach them to ticket records

o Scan all receiving documents and attach them to item receipts

- Conversions/Work Orders (a few times per month)

o Create baby ticket under new size and place it in conversion location until the material is returned from being processed

o Once material has returned, make an inventory adjustment to account for scrap, place the material back into Oakland location, and check certs to see if a new NEA ID# is required

- Consignment and Other Orders (a couple times per month)

o Bill consignees as consignment tickets come in

o Keep up with orders waiting to ship because of transfers, advance transfer, and shipping methods

- Customer/Vendor Returns (a few times per year)

o Prepare RMA and wait for material to be returned

o Process paperwork and prepare credit memo when ready

- Inventory Transfers (once a month)

o Move stock and record dollar amount being transferred

o Scan transfer list and send to transfer location and to Lisa

- Invoicing

o Check orders for errors, add freight charges, and email invoices(as well as any additional documentation required) to customers

o Send out shipping log to sales team

Secondary responsibilities:

- ADP

o Fill out incident reports with ADP and employees for workers comp cases

- Assist bookkeeper with documentation requests

- Filing

- Check attendance

Qualifications:

  • High School Diploma or GED and 3-5 years of relevant administrative experience required
  • College degree and/or relevant administrative skills certification, a plus
  • High degree of detail, accuracy, and organizational skills
  • Maintain confidential information
  • Work independently with some oversight and as part of team
  • Approachable, proactive, positive, and professional attitude
  • Professional verbal communication and written business communication skills
  • Exhibit active listening skills and follow through on commitments
  • Good judgment to solve problems, escalate issues, and request prioritization of responsibilities
  • Computer and data entry skills: Microsoft Suite of applications and general office equipment
  • NetSuite experience a plus.

Pay: $26.00 - $30.00 per hour

Experience:

  • Microsoft Office: 1 year (Preferred)
  • Administrative experience: 1 year (Preferred)
