Job Description
The Event Coordinator is an integral part of the events team, responsible for coordinating and supporting the execution of the Navigatr events across our brands. These events are revenue growth generated through our network.
In this significant role, your time will be divided between coordinating logistics, administering and supporting event technology for individual events, supporting on partner and member attendee registration, and assisting the team ensuring all details are executed seamlessly and the project plan is brought to action. The ability to multitask and prioritize is essential, as this role administers all event details for both in-person and virtual events. You are highly organized, creative, and passionate about event planning!
Key Responsibilities
- Assist with, planning and supporting event logistics to deliver seamlessly executed and engaging events in the travel industry
- Coordinate specific aspects of the event project plan and support the event team to successfully deliver against the plan
- Set up and administer the event technology platform to support each event
- Maintain all event documents including budgets, calendars, workback schedules, run of shows etc.
- Work within budget and manage expenses to deliver events that meet company, member and partner goals and objectives.
- Support with sourcing, booking, and managing event elements including swag, staffing, vendors
- Identify any issues, problem solve and put forward solutions
- Interact regularly with the event team to keep track of progress and ensure all event deliverables are on schedule.
- Liaise with partners, members, vendors, and internal teams during the event planning process to ensure all is in order
- Manage on-site event set-up and tear down
- Upon completion of the event, create statistical reports and participate in the Post-Mortem to review what went right and what can be improved.
- Establish partnerships and relationships and interact regularly with external stakeholders and attendees to ensure events are aligned with partner objectives and requirements. Foster these relationships to benefit the company.
- Develop literacy and working industry knowledge, including the event content being featured. Stay up to date on industry trends and competitor initiatives. Foster the ability to discuss partners’ products and services, as well as uncover new opportunities.
- Ensure consistency of corporate image and brand throughout all events and projects.
- Other duties as assigned.

Qualifications
- Minimum of 3 years’ experience as a meeting and event supporting role. CMP designation is an asset.
- Experience in supporting single to multi-day, mid-size events of 50 attendees, to Conferences of 1000 .
- Experience supporting both in-person and virtual events required.
- 3 years’ experience working with event platform technology, preferably CVENT
- Must be highly organized with the ability to multi-task and prioritize in a fast-paced environment
- Demonstrates extreme attention to detail
- Outgoing, enthusiastic with a positive attitude and professional demeanor
- Self-motivated with the ability to work autonomously in an agile, fast paced, entrepreneurial environment
- Readily adapts to changing conditions
- Ability to collaborate and connect effectively within the events team, and across multiple departments, partners, and customers.
- Strong communication and interpersonal skills, both verbal and written
- Expense-management skills and proficiency.
- Technical aptitude, with ability to identify and recommend technology solutions for efficiency
- Knowledge and experience with marketing techniques, social media, and industry trends.
- Travel or hospitality industry experience is an asset.
- Ability to travel to events, as necessary.
- Experience with CVENT is a strong asset
- Proficient in Microsoft Office products
