Nelson's HVAC, LLC, a leading provider of heating, ventilation, and air conditioning (HVAC) solutions, is seeking an organized and experienced Office Manager with HVAC dispatching experience to join our dynamic team in Falls Church, VA.
Responsibilities:
- Oversee the day-to-day operations of our office, creating a productive, safe, and welcoming environment.
- Coordinate, schedule and dispatch HVAC technicians to service appointments, ensuring optimal productivity and customer satisfaction.
- Manage customer scheduling, providing excellent customer service, and resolving issues promptly.
- Supervise administrative staff, including managing tasks, monitoring performance, and encouraging professional development.
- Organize and maintain internal office systems and procedures to ensure maximum productivity and efficiency.
- Assist with budget preparation and management, focusing on cost-efficiency and handling company invoices.
- Collaborate with HR to maintain and enforce office policies and procedures.
- Serve as the point of contact for office maintenance, mailing, supplies, equipment, bills, and errands.
- Plan and coordinate office meetings and events, managing schedules and deadlines effectively.
- Handle office communications, interacting with clients, vendors, and field technicians as needed.
Qualifications:
- A minimum of 5 years experience in office administration or management, with a strong preference for experience in HVAC dispatching or a similar role.
- Bachelor's degree in business administration or related field preferred.
- Proficiency in Microsoft Office suite, especially Excel and Word.
- Familiarity with dispatch software and tools, and ability to learn new software quickly.
- Excellent organizational, multitasking, and time-management skills.
- Strong communication and interpersonal skills, capable of liaising effectively with a variety of stakeholders, including customers and field technicians.
- A problem-solving mindset, with the ability to anticipate needs and challenges in a fast-paced environment.
