SALARY:  The salary range for this position is $45,797.84 to $72,189.54 for Schedule A, and $45,797.84 to $68,580.06 for Schedule B.  For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B.

Vicinage 13 Somerset County Operations Division is seeking a highly motivated self-starter who possesses excellent administrative, written and verbal communications skills, is attentive to detail, customer service oriented, and is able to multitask in a fast-paced environment.
Under the direction of the Court Executive 2B (Operations Division Manager) and/or other supervisory personnel, the selected individual will provide administrative support to the Operations Division Manager as well as the Operations Division as needed. The ideal candidate must possess excellent written and verbal communication skills, the ability to work independently and as part of a team, adhere to deadlines, show attention to detail and accuracy, maintain confidentiality, and possess integrity. The selected candidate must have the ability to work on multiple assignments, while ensuring effective time management and prioritization of the same, while also participating as a positive member of a professional team. This position will work and interface frequently with the Somerset Vicinage Judges, Trial Court Administrator, members of the Vicinage management team, members of the Administrative Office of the Courts, as well as with community partners and agencies. Knowledge about court operations and the applications used by the Judiciary is helpful.


The ideal candidate will employ self-management, reasoning, leadership, and administrative skills for, but not limited to, the following:

 
  • Assist in the implementation of policies and procedures.
  • Assist the V13 Vicinage employees and court users virtually, via phone, email, and walk-ins.
  • Assist with distributing timelines for management projects.
  • Assist with scheduling and prioritizing meetings and events including room reservations and event planning.
  • Assist with Title II ADA requests.
  • Assist with tracking of operations division equipment or other assets.
  • Calculate and/or interpret accounting, financial, or statistical data.
  • Compose routine and non-routine correspondence, create meeting agendas, minutes, reports, manuals, etc.
  • Coordinate and monitor facilities requests.
  • Coordinate vicinage signage.
  • Manage the gathering and reporting of statistics.
  • Prepare, analyze, and review statistical reports.
  • Provide excellent customer service to internal and external customers.
  • Provide information to judges, attorneys, or community organizations.
  • Serve as liaison for the Continuity of Operations Plan (COOP) including updating/modifying information as necessary.
  • Serve as liaison for the School to Employment Program (S.T.E.P.).  
  • Track division budget and spending plans including recommending purchase of equipment, materials, or supplies.


 

REMOTE WORKThe Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, you will be required to have high speed home internet access.

Three years of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, handling payments for fees, recording monies received, reconciling balances or accounts and/or scheduling meetings or appointments.
 
Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute, or must have otherwise demonstrated this competency as detailed below.

The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
  • All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
  • Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test.
  • Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.
Driver's License:  Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position.

Authorization to Work:  US citizenship is not required.  Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.

Special Note:  Newly hired employees must agree to a thorough background check that will include fingerprinting.  All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information.

Residency Law:  Pursuant to N.J.S.A. 52:14-7 (L. 2011, Chapter 70), also known as the "New Jersey First Act," all persons newly hired by the Judiciary must establish, and then maintain, principal residence in the State of New Jersey.
