What are the responsibilities and job description for the Administrative Specialist 1 Confidential (Municipal) position at New Jersey Courts?

SALARY: The salary range for this position is $44,899.84 to $70,774.06 for Schedule A, and $44,899.84 to $67,235.35 for Schedule B. For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B.

- Tracking municipal court session/hour changes.
- Reviewing and disseminating changes in case law, statute, court rules, etc., to municipal court staff.
- Responding to queries posed by the public, attorneys, judges and court staff relating to municipal court matters.
- Responding to municipal court customer service complaints and escalating complaints to supervisory staff as needed.
- Collecting and distributing statistics and data.
- Tracking municipal court personnel training and certification requirements for municipal court staff.
- Composing correspondence and reports.
- Processing approvals for POAA and DUI expenditures; process violation bureau schedules.
- Promulgating and processing transfer/consolidation orders.
- Processing all family involvement forms, incident forms, and ADA request forms.
- Scheduling and facilitating virtual meetings via Microsoft Teams or Zoom platforms.
- Act as liaison between the Municipal Courts and AOC Municipal Court Services Division for annual updates.
- Assist in the planning of the annual municipal divison conference.
This position provides human resources support for the division, develops and updates spreadsheets and databases to best meet the division's operational needs; serves as liaison between judges, managers, municipal courts and outside agencies; serves as a timekeeper and purchasing liaison; maintains confidentiality of division and court matters; treats everyone with dignity and respect and performs other duties as assigned.
REMOTE WORK: The Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, you will be required to have high speed home internet access.
Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute, or must have otherwise demonstrated this competency as detailed below.
The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
- All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
- Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test.
- Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.
Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.
Special Note: Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information.
Residency Law: Pursuant to N.J.S.A. 52:14-7 (L. 2011, Chapter 70), also known as the "New Jersey First Act," all persons newly hired by the Judiciary must establish, and then maintain, principal residence in the State of New Jersey.
