Title: Executive Administrative Assistant Location: Kalamazoo, Michigan Reports To: Director Design Ops & User Experience, Design and Ideation Position Summary: The Executive Administrative Assistant will perform administrative work for the Design and Ideation Leadership team in a fast-paced environment, sometimes under pressure. The Executive Administrative Assistant is the backbone of the Design and Ideation team, who in addition to leading administrative tasks, takes charge of office coordination and font desk management at the Design Center. Flexibility, proactivity, resourcefulness, and efficiency are paramount, coupled with an unwavering commitment to professionalism and confidentiality. Serving as the public face of the Design Center, this individual interfaces with senior executives and their assistants across Newell Brands as well as visitors. The role necessitates well-developed coping mechanisms, self-directed initiative, exceptional organizational skills, and a role as a key ambassador for both the Design team and the company. Work hour flexibility is a must for this role and the ideal candidate will be available for emergency travel assistance, etc. after hours and occasionally on weekends. Primary Responsibilities: The Executive Assistant will be responsible for management of day-to-day duties for the Design Leadership team and Design Center, including: - Manage day-to-day tasks for the Design Leadership team and Design Center - Welcome and manage visitors, maintaining a seamless arrival experience - Record visitor information for the Design Center - Oversee front desk operations and produce/distribute correspondences - Maintain email distribution lists for Design team - Assist in report preparation and order business cards - Track and order office, kitchen and usability supplies - Handle purchase orders and capital asset requests for the Design team - Manage User Experience participant database and distribution of gift cards - Proactively identify and report maintenance, cleaning, or protocol deviations within the building, promptly fixing or notifying the relevant teams for swift resolution - Own all FedEx/UPS shipments (incoming and outgoing) - Organize catering for Design Center meetings - Maintain and distribute the Photo Directory - Book travel arrangements and reconcile expense reports - Provide visa/passport assistance - Organize and schedule meetings, appointments and employee relation events - Coordinate a variety of complex executive meetings, travel schedules/reservations (domestic and international) and travel expenses - Prioritize and manage multiple projects simultaneously - Plan and deliver all logistic details for internal and external meetings and corporate events including venue selection, set-up, food and beverage, supplies, etc. - Support Innovation Team and Design Institute activities - Maintain regular contact with Design team members and other departments - Handle all tasks with tact and efficiency - Perform other duties as assigned Key Qualifications: - High school degree required plus additional broad specialized training equivalent to 2 years of college; Bachelor's degree preferred - 5 years of experience as an Executive Assistant - Excellent calendar management skills, including the coordination of complex executive meetings. - Experience scheduling global travel arrangements - Strong communication skills (written and verbal) to proactively communicate any issues or observations that will improve the success of the business - General office management experience, strong computer skills, highly organized; great attention to detail; efficient time management skills - Strong knowledge of Microsoft Office, including Teams, Word, Excel, PowerPoint and Outlook and experience with creation of PowerPoint presentations - Superior oral and written communication, judgment/problem solving and persuasive/selling skills - Strong decision-making skills and problem-solving ability - Ability to work with multiple stakeholders and resolve conflict in a constructive manner - Excellent project management skills - Capability to build strong organizational awareness and professional relationships - Experience with SAP preferred - Ability to periodically travel - Ability to learn Newell Brands specific processes and tools
