Position: Academic Services Manager

Reports to: Director of Academic Services

Status: Full-Time, Exempt, Salary

Salary: $63,500 to 65,500 (DOE)

Hours: Typical Work Day, Monday through Friday 10:30AM – 7:00 PM

  • 3-5 hours of social media and phone outreach every week (outside of work day hours)
  • Some weekend work will be required throughout the year
  • (Typically during College Application, Financial Aid, and SAT Programming seasons; annual events such as Thanksgiving and NAC Graduation)
  • Travel to college locations during Fall and Spring, including weekend trips

Requirements:

  • Bachelor’s Degree Required
  • Majors in Social Services, Human Services, Education, Psychology preferred
  • Bilingual (English and Spanish)
  • CPR Certified (provided by NAC; needs to be obtained prior to official hire)
  • TB Clearance (provided by NAC; needs to be obtained prior to official hire)
  • Must pass DOJ fingerprinting clearance (provided by NAC; needs to be obtained prior to official hire)
  • Must have reliable transportation to and from offices within Santa Ana

DESCRIPTION

As a member of the Nicholas Academic Center Management Team, the Academic Services Manager (ASM) is responsible for assisting the Director of Academic Services with implementing and tracking departmental programming, inclusive but not limited to: tutoring services, academic tracking, cultural knowledge workshops, SAT classes, collegiate services, field trips and summer/fall/winter/spring break services. This position manages a team of 3-5 members who help the Director accomplish departmental and organizational goals. The ASM position works with departmental staff to help support and strengthen students’ academic achievement and higher education eligibility. The ASM works with the Director of Academic Services to create and maintain relationships with school, local, and national stakeholders. This position acts as a mentor to current students and alumni who have graduated from the program, providing them with in-person mentoring services throughout the time they remain active participants of the program. The ASM does some weekend travel; they visit alumni enrolled in university to aid with students’ transition and retention in college. The Academic Services Manager works with the Director of Academic Services, Academic/Mentor Tutors, drivers and other NAC management team members to assess students’ academic progress and needs and to implement program and services accordingly.

RESPONSIBILITIES

Management Responsibilities

  • Hire and onboard new Academic Mentors and Tutors
  • Manage, mentor and guide Academic Mentors and Tutors
  • Oversee performance of Academic Mentors and Tutors
  • Manage supervisees, making hiring and termination recommendations.
  • Analyze employee management tools (e.g..: tutor grids) to improve operational efficiencies and student academic outcomes.
  • Train and mentor Academic Mentors to ensure they implement NAC Academic Services to the best of their abilities.
  • Plan and facilitate weekly and biweekly tutor meetings
  • Takes on a management role within the organization, stepping in as needed to manage and ensure the organization and personnel function without interruption.
  • Oversee tutor schedules.
  • Assist Academic Directors (ADs) with training personnel within the Academic Services Department. (new)
  • Assist with managing operations of Nicholas Academic Center site, identifying ways to improve academic, social, operational, and programming services. (new)

Programmatic Responsibilities

  • Direct, manage and oversee the implementation of NAC-SAT year-round programming.
  • Create and implement an academic college knowledge curriculum for NAC’s Academic Department (e.g.: Junior College Knowledge, 8th-10th Grade College Knowledge, etc.)
  • Create, manage and oversee NAC student programs and activities
  • Chapman Lectures, NAC Factor, NAC Cafe, NAC Clubs, NAC Fun Fridays, etc.
  • Create, manage, and oversee NAC activities to build culture and community.
  • Monthly student birthday celebrations, Halloween Activities, Ringing of the New Year, etc.
  • Assist ADs with developing and implementing Spring, Summer, Fall, and Winter student programming.
  • NAC Open House, Student Welcome Back Activities, Learning Workshops, etc.
  • Assist Director of Academic Services with implementation of year round Academic programming that focuses on improving student academic skills, social skills, cultural capital, academic knowledge, leadership skills, self-efficacy, global citizenship, etc. (e.g.: Community building activities, Etiquette Dinner, Noche De Altares, Pre-College Programs Push, Sweets & Treats, One Billion Rising)
  • Assist ADs with enrolling and dropping students from the NAC program.
  • Class Presentations, School Verification, New Student Orientation, Student Intakes, Academic Intakes, etc.
  • Assist ADs with the implementation and tracking of the Summer Bridge Programs, including tracking of student applications and acceptances.
  • Assist Director of Academic Services with educational case management services to Nicholas Academic Center students’ 8th-12th grade.
  • Assist Academic Director with implementation of academic and cultural enrichment activities including guest speakers, field trips, workshops, college knowledge, teaching classes and other presentations to inform, guide, and inspire students.

Operations and Administrative Responsibilities

  • Actively participate in Academics department, bi-weekly Directors meeting, weekly tutor meetings, and general staff meetings and assist with preparation of reports, briefs or other data as needed.
  • Assist Academic Directors with gathering, tracking and managing:
  • Student participants including current school, home, and parent information
  • Student files
  • Student attendance and behavior
  • Students’ academic progress
  • Students’ participation in programs and activities
  • Students on NAC academic probation, including remediation action plan
  • Information related to NAC Academic report and students’ academic information
  • ? Complete data entry as needed to track student participation in NAC, school and community programming.

PROGRAM DEVELOPMENT AND IMPLEMENTATION

  • Act as mentor and advocate for NAC current students, providing them with personal, academic, and collegiate guidance.
  • Advice and counsel students on academic subject requirements, classes for graduation, and college eligibility.
  • Provide students with support and resources that sustain motivation, help develop good study/academic skills, and engender positive attitudes and high expectations.
  • Maintain open communication and collaborate with Director of Academic Services and with other NAC Management regarding departmental programs, as well as problems and concerns about students to ensure needs of students are being met.
  • Maintain positive working relationships with school counselors and teachers to identify and provide instructional intervention and other academic strategies that increase academic achievement and facilitate success.
  • Maintain consistent and effective communication with NAC management team, teachers, staff and administrators to advocate for students.
  • Assist Academic Director in outreaching to students via school visits, email, phone calls, social media, etc.
  • Participate in orientation activities for new and returning NAC participants in collaboration with NAC Management Team.
  • Assist Academic Directors with implementation and tracking of SAT prep services including registering students for the SAT, SAT II, ACT, and others that arise.
  • Assist with building, maintaining and conserving NAC Stakeholder relationships: high school counselors, teachers, parents, community, business and colleges etc.
  • Assist with organizing wide NAC activities: Thanksgiving, graduation, etiquette dinner, and Chapman Lecture series as need arise.
  • Travel to colleges/universities to visit current alumni studying in those institutions.

MENTORING AND ADVOCACY

  • Mentor and guide students as they face barriers in their personal life, education, family and general environment
  • Provide emotional and advocacy support to students’ parents
  • Work with colleagues, using a holistic approach, to help resolve students emotional and academic barriers
  • Travel to college locations to visit alumni, offering mentoring and advocacy.
  • Report psycho-socio-emotional issues that arise with students and alumni with timeliness.

SUPERVISION

  • Hire, train, supervise, and evaluate academic tutors and mentors.

BUDGET/FISCAL

  • Assist with managing, tracking and documenting expenses related to Academic Services programming.

OTHER

  • Perform other duties as assigned and/or needed to meet operation and program goals.
  • Maintain current and knowledgeable on trends, policies, and issues relevant to youth development programming, K-12 education, and college access program development.

Requirements:

  • Communication skills with an ability to establish and maintain positive interpersonal/human relations with diverse and multiple stakeholders including students, parents, peers and high school personnel.
  • Ability to maintain confidentiality and ethical conduct.
  • Strong organizational skills and ability to establish priorities.
  • Knowledge of computer applications and software, i.e. MS Word, Excel, PowerPoint.
  • Bilingual Skills: Ability to speak and communicate in Spanish.
