SUMMARY:
This position provides administrative support in the executive offices and primarily supports the Senior Vice President, Regulatory and Government Affairs & Chief of Staff.
ROLES & RESPONSIBILITIES:
Perform administrative tasks for the SVP/Chief of Staff (CoS) including research, investigations, composition of correspondence and reports.
Proactively manage SVP/COS’s busy calendar with a strong understanding of shifting and regular priorities.
Manage correspondence received, screen material to determine the need for the SVP/CoS’s attention and coordinate actions and activities for responses. Compose letters and memos, and routes or answers correspondence on behalf of SVP/CoS. Maintain electronic correspondence filing system.
Liaison with Governor’s Authorities Unit for approvals on all NJ TRANSIT out-of-state business travel requests. Prepare quarterly look-ahead travel report and keep records of requests.
Arrange and manage SVP/CoS’s business travel and reconcile travel expense reports.
Coordinate with internal support staff on referrals, reports, projects, information requests, etc.
Interact with Government Community Relations department, which reports to SVP/COS.
Coordinate and provide logistical support for special projects and initiatives as needed.
Manage bi-weekly timecard approvals for SVP/CoS and other staff.
Provide administrative back-up support for President & CEO’s assistant when needed.
EDUCATION, EXPERIENCE & QUALIFICATIONS:
Bachelor’s degree in business administration or related area and five (5) years of increasingly responsible office administration experience with an emphasis in executive office procedures preferred. One (1) year of closely related experience can be substituted for each year of education required.
KNOWLEDGE & SKILLS:
Strong verbal, written, and follow-through skills required.
Additional skills required include: deadline-oriented; ability to multi-task, prioritize and organize; discretion with confidential materials; and being a team player.
Strong working knowledge of Outlook, Oracle, Kronos, and P-Card usage preferred.
Experience working with outside agencies also ideal.
Flexibility with working hours preferred.
