What are the responsibilities and job description for the Office Manager position at NLS, MTS, Signature?
This position will include occasional travel within assigned Region and can office out of any of our main Branch locations.
Minimum Qualifications
Experience
- 5-7 years of work-related experience with previous supervisor experience.
Education
- Bachelors degree in Business Management or related field, or equivalent related work experience
Language Skills
- Ability to read, write and comprehend English
- Ability to read, write and comprehend Spanish preferred

- Basic knowledge and understanding for general accounting practices
- Strong internal and external customer service
- Ability to demonstrate a positive working attitude and contribute to a culture of excellence
- Effective oral and written communication
- Proven track record of very high attention to detail and organization

- Demonstrated skill in using ERP to perform common accounting tasks (e.g., journal entry creation, reconciliation, etc.).
- Intermediate to advance understanding of the Microsoft Office Suite.

Essential Duties
Office Administration
- Create, develop and maintain all office operations, workflow and procedures.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurements.
- Maintains office staff by recruiting, selecting, orienting, and training employees.
- Maintains office staff job results by coaching, counseling, and disciplining employees. Conducts regular performance reviews of office staff in addition to planning, monitoring and appraising job results.
- Manage and comply with all company driven deadlines.
- Effectively communicate written and orally all policy or procedural changes to internal clients.
- Delegate and manage project-based work to office staff, follow-up and report results to Region Manager.
- Keep management informed by reviewing and analyzing special reports, compiling information and identifying trends.
- Maintain and protect sensitive company data by adhering to internal security controls.
Fiscal Responsibilities
- Assist Region Manager and related team members with annual budget preparation, review and reporting.
- Assist Branch Managers with semi-monthly rollup and support of Branch financial forecasts as needed.
- Accountable for timely, accurate processing of non-recurring accounts receivable invoicing.
- Regular review and follow-up on AR Aging Trial Balance report.
- Support Accounting Department in balancing all revenue and expenditure accounts in accounting system monthly against other reports such as CRM generated, monthly projections, etc. to prepare month end accounting close.
- Monthly compilation of inventory accounts in preparation of journal entries.
Contract Administration
- Assist Business Development with contract proposals, RFPs and customizing appropriate sales & marketing materials.
- Oversee the setup and/or removal of all maintenance accounts in the various ERP and CRM systems related to district operations.
- Support renewals and revisions of active maintenance contracts in support of District and Account Managers.
- Ensure portal activity for key clients and chain accounts is managed appropriately.
- Oversee subcontractors for contract and insurance compliance
Human Resource Responsibilities
- Have a working knowledge of the company Employee Handbook and be able to answer general questions from region operation employees.
- Ensure local HR tasks are being accomplished in a prompt and thorough manner.
- Regularly communicate and assist local HR Manager with matters needing escalation.
- Responsible for creating contemporaneous, prompt, and thorough documentation of all coaching, conversations, counseling, and performance management discussions with employees.
- This position has supervisory responsibilities
- Assist in organization of company functions and meetings including facility allocation and catering
- Regularly maintain and update the procedural manual as it relates to this position

Pay range: $67,724.80 - $80,000.00
