Position Summary
Promote practice growth through effectively scheduling patient treatment in accordance with doctor’s availability, assisting patients with financial options, and following up on overdue patient appointments.
Key Duties and Responsibilities
- Must maintain regular, consistent and punctual attendance in accordance with assigned schedule and time off policies.
- Memorize and deliver scripts in person and over the phone as appropriate
- Manage incoming telephone calls, record and retrieve messages
- Retrieve messages and e-mails regarding treatment and new appointment
- Monitor schedule and patients who are waiting in reception area; notify appropriate staff of patient arrival and when there has been a delay in patient seating for appointment, performing as a additional greeter
- Check patient records and provide with appropriate and necessary forms upon arrival (i.e. medical history, HIPAA consent, contact information, and oral sedation forms etc.)
- Ensure that office has X-rays from previous dentist when appropriate
- Schedule appointments in consideration of production and capacity
- Set up appointments with specialists when indicated; coordinate with specialists office, send x-rays, explanatory letter and provide a referral card/pamphlet for specialist to patient
- Accept and record payments made at the time of service, via mail and telephone
- Present financing options and make necessary arrangements
- Prepare End-of-Day routine, including: (a) reconciling production and collection (b)preparing and making bank deposits
- Prepare and submit End of Day Reports
- Make courtesy calls for treatment follow-up (post-op calls, when necessary)
- Complete training in all areas shown on training schedule
- Cross-train to assume Hygiene Coordinator, Greeter/Receptionist responsibilities, when necessary
- Schedule patient appointments
- Confirm upcoming appointments and recalls according to office protocol
- Review and be prepared for daily appointments scheduled
- Arrange patient charts for next day appointments
- Fill in cancellations and no-shows
- Organize referrals to other medical specialists
- Enter all relevant patient information into data system
- Dispatch lab work appropriately
- Collect and receipt payments from patients at time of treatment
- Inform patients of financial treatment plan options
- Arrange payment schedule with patients
- Prepare and mail billing statements
- Prepare claim forms for dental insurance
- Arrange supporting documents for insurance claims
- Sort and distribute incoming and outgoing post
- Monitor and maintain inventory of dental office supplies
- Update patient education materials
- Maintain a professional reception area
- Safeguard patient privacy and confidentiality
- All other duties as assigned
Qualifications
- High School Diploma or Equivalent
- Work experience as a dental front desk person and billing/coding preferred
- Experience with software - Dentrix Enterprise preferred
