Rutgers, The State University of New Jersey is seeking a Administrative Coordinator (Confidential) in the Office of Clinical Affairs at Rutgers Biomedical and Health Sciences.
Reporting to the Vice Chancellor for Population Health, the Administrative Coordinator provides confidential administrative assistance to the Rutgers Biomedical and Health Sciences Office for Population Health and actively participates in a broad range of support activities. The Administrative Coordinator has responsibility for supporting various meetings and events, maintenance of office and administrative systems, filing and record keeping, procurements and reimbursements, and other essential functions.

The Administrative Coordinator has responsibility for supporting various meetings and events, maintenance of office and administrative systems, filing and record keeping, procurements and reimbursements, and other essential functions.
Among the key duties of this position are the following:
- Serves as a key member of the Office for Population Health support team and actively participates in the management of the Office of Population Health of Rutgers Biomedical and Health Sciences.
- Reports to and provides administrative support for the Vice Chancellor for Population Health.
- Ensures that actions requiring the attention of the Vice Chancellor for Population Health and senior management are communicated promptly for review and/or action.
- Schedules, organizes, and provides staff support to complex high-level activities including meetings and events. This includes all aspects of meeting coordination including preparing agendas, catering, participant invitations, reserving and preparing facilities, taking minutes and notes, setting up and breaking down AV equipment, initiating conference calls, skype, web-ex or other needs, initiating follow-up.
- Arranges complex and detailed travel arrangements and itineraries, compiles documents for travel-related meetings, and submits expenses for reimbursement.
- Performs a wide variety of clerical assignments including composing and preparing confidential correspondence, reports, database files, spreadsheets, presentations, and other important documents.

COVID-19 Immunization Requirement
Under Policy 60.1.35, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility. Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine. Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Minimum Education and Experience
- Bachelor’s Degree in Business Administration or a related field plus five (5) years of experience in a business office, government agency or academic institution.
- Equivalent education, experience and/or training may be substituted for the degree requirement
- Previous customer service experience.

- Must be able to work independently, efficiently, and effectively in a fast paced environment.
