JOB DESCRIPTION:
The heart of a Project Coordinator’s role is driving clients’ happiness and helping them meet their business goals. You will take ownership of client accounts from onboarding through the entire project phase before handing off clients to our Client Success team. In this role as a Project Coordinator, you will shape the ideas of the project, define clear goals and objectives in consultation with other departments, organize notes and key assets, all while keeping the project on a set timeline. The Project Coordinator is expected to create an environment that maintains a balance between allowing the creative talent freedom to explore ideas, while still making sure the team meets deadlines and creates strong project deliverables, requiring excellent interpersonal and organizational skills.
The Project Coordinator is expected to shoulder the responsibility of launching projects and seeing them through to successful completion. This requires strategic planning, clear communication, adherence to deadlines, organizational skills, and extreme attention to detail. In addition, the project coordinator must be a people person, fostering relationships to fortify client retention. Moreover, the Project Coordinator will work across multiple departments and is expected to be an agile and responsive team player.
ESSENTIAL FUNCTIONS:
- Project Management: You will move Branding, Website, Creative Collateral, and Photo & Video projects forward, both internally with our team and externally with our clients, trafficking deliverables and feedback. You will manage project schedules, communicate timelines and expectations, collect and organize assets, prioritize tasks, and ensure deadlines are met. Throughout various projects, you will routinely QA designers’ and web developers’ work to guarantee quality and also provide creative direction as needed.
- Client Communication: You will be your clients’ primary point of contact, functioning as a liaison between them and our team. You’ll lead onboarding calls with clients, be a master note-taker, and maintain a consistent communication cadence with clients. You will be responsible for maintaining the most up-to-date information about our clients within our CRM & Monday.com, notifying other departments of any changes to their account or business.
- Customer Service and Client Retention: You will field any client questions or requests, troubleshooting issues to the best of your knowledge and/or escalating them to the appropriate team members when necessary. Your goal is to ensure long-term satisfaction and development of client relationships.
- Quality Assurance and Creative Direction: You ensure that all our work is branded appropriately for each client, accurate, and high-quality. From guiding feedback on print collateral to reviewing websites or ad copy, you will always strive to dot every i and cross every t, before delivering work to a client.
- Team Resource: You will be a resource for the team and contractors, including web developers, copywriters, photographers, and videographers, and will provide project assignments, process improvements, audits, and reporting in leadership and team meetings.

- Intuitive Communication: You will be a client’s primary point of contact and responsible for relaying updates to our team; you must be personable, professional, responsive and well-organized. There is an intuition needed in this role to differentiate between moments when an email will suffice and when you need to pick up the phone.
- Obsessive Attention to Detail: Project Coordinators guide feedback and traffic projects between clients and team members. You will share accountability for the accuracy and quality of our company’s work. Attention to detail is crucial, but so is the ability to read between the lines. Being able to interpret client feedback, ask qualifying questions and make sure our clients’ voices are heard is critical to the success of any project.
- Expert Organization and Project Coordination: If someone asks you to describe yourself and you wouldn't say "organized," you need not apply. Project Coordinators must be organized and on top of all client needs, overseeing deadlines and facilitating deliverables. You will need an exceptionally strong ability to multitask and prioritize accordingly, keeping track of outstanding assets and tasks.
- Understanding of Digital Marketing: You will be responsible for piloting the handoff between Project Coordination and Client Success and taking detailed notes to ensure a streamlined transition. Throughout your clients’ scoped projects, you must also become familiar with their practice’s growth goals and service focus areas, in order to make sound recommendations during the handoff phase, so that our clients can ground running with marketing services. Websites should be optimized properly for SEO, PPC, Funnels, and Social Media, which is the Project Coordinator’s job to oversee and verify that our final project deliverables are conversion-focused.
- Resourceful and Confident Self-Starter: Once you learn the ropes, we’ll expect you to own your accounts to keep projects moving forward. You will need to take the initiative to make decisions and recommendations, and to follow up with clients to progress projects and maintain successful relationships. Your ability to launch projects in a timely manner and troubleshoot any roadblocks preventing a timely launch, will have a direct impact on MRR. You will solve problems every single day, so we need someone with a solutions-oriented mind.
- Takes Pride In Work: We need someone who takes any project, big or small, and puts everything they have into it. Mistakes are okay. Sloppiness is not.

MINIMUM QUALIFICATIONS:
- 2 years of marketing or agency experience
- Experience working in Monday.com or similar project management softwares
- A passion for helping clients and small businesses succeed
- Knowledge of WebFlow or other like web development softwares
