Position Summary: The Central Services Specialist will maintain activities within Facilities serving all areas of the College including, but not limited to, aspects of inventory, shipping, receiving, delivery, and invoice assignment.
This is a full-time position. Typical schedule will be Monday through Friday, 8:30 am – 5:00 pm. While these hours are typical, they may be subject to change as evening workload and needs of our customers may require some evening work during the week.
Reporting Relationship: This person is accountable to the Facilities Manager.
- Accurately inventory received items and update existing inventory system (Peoplesoft) including items sold or destroyed.
- Maintain auction website including posting auction items in a timely manner, coordinate pick up of sold items and process monthly payments.
- Reconcile the inventory system with financial reports on a quarterly basis and provide applicable reports and assistance during audits.
- Assist with video recording of College inventory.
- Maintain inventory system and customize accordingly to fit the needs of the College.
- Prepare each departments’ inventory report on a semi-annual basis to determine accuracy of inventory recorded in the inventory system and initiate approvals from appropriate staff.
- Process all invoices for NTC using Perceptive Content and determine how item was purchased to accurately process the invoice, approve purchases, and analysis of any discrepancies and take appropriate action.
- Prepare monthly postage report and send to Finance department.
- Process incoming return envelopes, certified mail and record on report
- Process and approve invoices for Central Services including Fed Ex, UPS, City Delivery, UMS, etc.
- Oversee fleet reservations
- Back up Central Services Assistant when needed, including mail delivery and mail prep, loading and unloading shipments.
- Process MVR checks for employees and students and maintain data base of results.
- Associate’s degree or two years of post-secondary education appropriate to the position, Accounting/Finance preferred, or an equivalent combination of knowledge and skills gained through occupational experience.
- Understanding of accounting principles and practices with ability to interpret financial spreadsheets and working knowledge in Access and Excel.
- Ability to work with and communicate in a tactful and pleasant manner with college staff and students, and any external customers.
- Must have prior experience with computers and working knowledge with applicable programs, inventory systems, office machines, record keeping systems, etc.
- Must hold a valid Wisconsin driver’s license with the ability to pass NTC’s motor vehicle background check. Forklift operator certification an added plus.
