The job of Accounting Assistant is done for the purpose of performing a variety of financial activities in all funds including recording, updating, and reconciling fiscal information, providing instructions and accounting support to other personnel in accordance with established fiscal practices and mandated requirements, providing support to the agency’s director of Business Services, and the accurate processing of accounts receivable and payable.
This position is anticipated to start on July 1, 2024.
- Assists and supports the director of Business Services with various tasks for the purpose of ensuring the Business Office runs in an efficient manner.
- Completes assigned activities and/or projects (e.g. audit, receivables, refunds, summary agreements, WC/UN/CA Coop support, payment of vendor invoices, process of agency purchasing card statements, process and monitor inventory, assist with month-end and year-end process, facilities department support, school financial services support, webpage administration etc.) for the purpose of ensuring department and program activities comply with established financial, legal, and/or administrative requirements.
- Informs a variety of individuals about policy and procedural requirements (e.g. vendors, contractors, ESD and servicing district personnel, etc.) for the purpose of explaining requirements for completing transactions, taking appropriate action, and/or complying with established fiscal guidelines.
- Maintains a wide variety of fiscal information, files, and records (manual and computerized) (e.g. invoices, purchase orders, receipts, bank statements, etc.) for the purpose of documenting activities, providing information, and an up-to-date reference and audit trail.
- Monitors account balances and related financial activity (e.g. open purchase orders, grants, invoicing, refunds etc.) for the purpose of ensuring that allocations are accurate, billings, expenses are within contract limits, and/or fiscal practices are followed.
- Prepares a variety of written materials (e.g. reconciliations, reports, procedures, transmittals, rosters, etc.) for the purpose of documenting and analyzing activities, providing written reference, conveying information, and/or complying with mandated requirements.
- Processes and analyzes a variety of fiscal information (e.g. invoices, purchase orders, requisitions, reimbursements, grant receivables/payables, etc.) for the purpose of updating information and/or verifying/initiating final action in compliance with accounting procedures and agency policies.
- Reconciles account balances for the purpose of maintaining accurate records, monitoring agency assets, and complying with fiscal policy and practice.
- Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and complying with mandated requirements.
- Responds to inquiries (verbal and written) from a variety of sources (e.g. agency employees, customers, auditors, etc.) for the purpose of resolving problems, providing information and/or referring to appropriate personnel.
- Participates in meetings, workshops, and seminars for the purpose of conveying and/or gathering information required to perform functions.
- Assists external auditors for the purpose of providing required information and coordinating necessary project activities.
- Assists other personnel and departments as may be required for the purpose of ensuring an efficient and effective work environment.

SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
Specific skills required to satisfactorily perform the functions of the job include:
- operating standard office equipment including pertinent software applications,
- preparing and maintaining accurate records,
- performing accounting procedures, and
- creating and maintaining multiple data bases.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and ratios, read technical information, compose a variety of documents, facilitate group discussions, and analyze situations to define issues and draw conclusions.
Specific knowledge required to satisfactorily perform the functions of the job includes:
- accounting/bookkeeping principles.
ABILITY is required to schedule activities, routinely gather, collate, and classify data, and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances, work with data utilizing defined but different processes, and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and groups and work with data of varied types and or purposes. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data may require independent interpretation and problem solving with equipment is limited to moderate.

Responsibility
Responsibilities include working under limited supervision following standardized practices and methods, leading, guiding, and coordinating others, and tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job’s functions. There is some opportunity to impact the agency’s services.
Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling, and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
Experience
Job-related experience is required. Full-charge bookkeeping experience preferred.
Education
High school diploma or equivalent required. Post-K-12 education preferred.
