Position Overview :
We are seeking a Coordinator who shares the vision and interest in providing an exemplary customer service experience to our North American-based candidates.
Applicants who have a customer service focus, a passion for providing superb candidate care and always looking for new ways to improve or automate processes will be key to your success.
Partnering with our Recruiters to deliver a candidate-centric hiring experience requires expert judgment and attention to detail to support our growing Software & Services organization.
High touch role, white glove service is a must.
This is a Hybrid position and is expected to report to the facility in Mountainview, CA at least three times per week with the possibility of reporting all five days as needed.
Essential Duties and Responsibilities :
- Schedule complex interviews with excellent candidate care
- Manage scheduling conflicts and calendar changes from candidate and interview teams
- Educate Recruiters and other stakeholders on how to best use interview scheduling tools
- Provide outstanding candidate care. Ensure timely and accurate feedback to all inquiries for our Candidates, Recruiters, Hiring Managers, and HR Partners
- Provide in-person candidate greeting and onsite interview support
- Monitoring background checks and drug screens during the pre-employment stage, providing status updates and escalations where needed to ensure timely start dates
- Manage and maintain candidate trackers in alignment with the Applicant Tracking System and candidate pre-employment results
- Communicate to the recruiting team any challenges throughout the recruiting, interviewing, and pre-employment process
Minimum Requirements :
- Proficiency in Microsoft Suite products (Outlook, Excel, Teams)
- Agility to quickly learn new processes and recruiting technologies
- Excellent customer service skills both written and verbal
- Strong administrative and organizational skills
- Minimum 4-5 years supporting recruiting activities in a Coordinator capacity (including complex interview scheduling and monitoring background checks with adjudication)
Preferred Qualifications :
- Proficiency in using applicant tracking systems (particularly Workday), and background check vendor tools (like HireRight)
- Bachelor’s degree
- Previous experience in interview scheduling and providing white glove treatment of Big Tech candidates, many of whom may be executive level.
Physical Demands :
While performing the duties of this job, the employee is required to operate a computer by navigating different windows and programs, typing into applications, reviewing, and comprehending information within software programs;
Engaging in problem-solving, attention to detail, and multitasking as needed. You’ll handle up to 50 lbs. and move materials.
