POSITION PURPOSE: *
We are seeking an Office Manager to manage the day-to-day administrative function of Ntirety’s Austin office, with dedicated time focused on supporting the Marketing Department, and select executives. Marketing experience is not necessary, but this could be a great opportunity for someone with an interest in Marketing to learn more and help the department excel. The Office Manager also provides executive and administrative support to the Senior Leadership Team and other senior management team members. The ideal candidate will have excellent organization, communication, multi-tasking, discretion, and prioritization skills. Candidates interested in this position should display a good-natured, cooperative attitude and be reliable, responsible, and detail oriented. This is an in-office position from 8AM-5PM.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: *
- Deliver an exceptional experience every day to all employees, customers, and vendors
- Assist local executive team as needed on various tasks such as scheduling meetings and appointments, booking travel arrangements, filing, and preparing reports, and presentations.
- Coordinate guest visits and any planned events.
- Keep the office tidy and organized
- Be the main office contact for office and/or building issues
- Manage, maintain, and order office and kitchen supplies
- Ensure that all office furniture and business equipment is in working order
- Ensure printer supplies are on hand for all printers in the office
- Schedule maintenance service calls if needed for printers and office equipment
- Send expense reports, invoices and other necessary communications to the Finance Department
- Perform data entry and filling duties as needed, manage the filing systems in the office
- Manage vendor relationships as needed
- Plan weekly catered lunches every Wednesday for all onsite employees
- Coordinate mail, parcel shipments, tracking, and delivery
- Be available to receive shipments
- Inventory and organize Marketing collateral and swag
- Take part in phone calls, conference calls, video calls, and meetings as needed
- Document minutes and action items at requested meetings
- Can lift 20lbs and perform light physical tasks around the office
- Compose and type routine correspondence
- Participate in the Culture Crew committee
- Coordinate fun and creative company gatherings, parties, celebrations, and on-site and off-site events, including the annual office holiday party
- Prepare and decorate the office for the holidays
- Assist with and participate in virtual company events as needed
- Create expense reports and reconcile corporate credit card statements
- Work with executives to prepare PowerPoint presentations as needed
- Manage conference room scheduling as needed
- Maintain the building access card and visitor log
- Distribute and collect paperwork for new hires, coordinate with HR on the new hire process
- Receive equipment and ensure equipment is configured and a desk set up is prepared for new hires
- Assign building access cards and ensure any other necessary new hire tasks are performed
- Greet interviewees and new hires, provide short tour of facility
- Other tasks as assigned to support the Austin office, Marketing Department, Senior Leadership Team, and Corporate Administrative Team
Requirements
DESIRED MINIMUM QUALIFICATIONS:
- High School diploma required, Associate degree preferred.
- A minimum of 4 years of professional experience in an office environment.
- Must be proficient in Microsoft Word, Excel, Outlook, PowerPoint, and the Internet.
- Must have a positive attitude and an ability to foster a positive environment.
- Must have knowledge of office administrative procedures.
- Must have experience supporting senior level executives directly.
- High-level multitasking skill upon the various responsibilities.
- Understanding the interdependencies of others upon the function of this role.
- Capable of using standard office equipment.
- Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
- Excellent verbal and written communication skills required.
- Must have the ability to maintain an organized environment.
- Strong team player who can also work well independently.
- Must be detail oriented and dependable with a strong work ethic.
- Strong ability to work under pressure while demonstrating excellent prioritization and project management skills.
- Dependable transportation is required for running errands
- Must be able to type 40-50 wpm.
- Must be available to work in-office hours of Monday to Friday, 8am to 5pm CT.
