What are the responsibilities and job description for the Office Manager position at OBI Seafoods, LLC?
Responsible for all administrative and accounting operations performed at the Wood River facility. The Office Manager is responsible for managing an office staff of 1-4 people a housekeeping staff of approximately 4-5. Position is year-round with approximately 3-5 months on site in Alaska. Hours vary with time of year and amount of production.
Essential Functions:
- Supervise all office and clerical functions and personnel including payroll, purchasing, accounts payable and production accounting.
- Oversee day-to-day accounting, transactions, reconciliations, and outside reporting to ensure company procedures and policies are being followed.
- Maintain accurate records of all production produced and shipped daily.
- Ensure the plant’s biweekly payroll is completed accurately and on a timely basis as required.
- Ensure accurate reporting of daily fish purchases and daily preparation of fish tickets.
- Assist in the coordination of fishermen’s resale, services, and tender deliveries.
- Oversee purchasing, shipping, and receiving, and inventory records and documentation.
- Relay information in a timely manner to the Corporate Office, Plant Manager, and other company locations as required.
- Administer all communication systems (internet, PC network, UHF, VHF, telephones, and satellite radio).
- Oversee the Wood River store (Wood Shop). This includes overseeing all transactions, inventory, and purchasing of all items for the store.
- Manage Housekeeping Department. Supervise housekeeping staff, ensure that housing list are updated daily, keep track of visitor logs, other duties as assigned.
- Other tasks as assigned by Plant Manager and/or requested by the Corporate Office.
Off Season Essential Functions:
- Organizing and consolidating all plant orders. Work with corporate purchaser throughout the purchasing process.
- Respond to purchasing questions. The Office Manager is the go-to for plant purchasing and acts as a liaison between cooperate purchasing and Wood River department heads.
- Keep detailed records of changes for each order, as well as keep order submissions organized to ensure that every order is turned in to cooperate purchasing, track it through the pricing process, and track it through the plant manager approval process.
- Work with cooperate purchasing on barge logistics and other shipping methods to ensure that Wood River’s orders are shipped and delivered in a timely manner.
- Production Accounting Reconciliation.
- Monitoring of invoices charged to Wood River.
- Credit Card purchases (Monthly): Consolidate and review all credit card receipts and prepare credit card statements for plant manager approval.
- Wood River payroll for active off-season employees (bi-weekly).
- Responsible for coordinating all airfare and accommodations (housing, daily food allowances, etc.) with the cooperate office and plant HR to ensure that everything is lined up for traveling employees.
- Handling employee expense reports.
- Cost spreadsheets kept for utility costs (Monthly).
- Managing plant calendar: ensuring that important dates (inspections, guest arrival dates, etc.) are added to calendar.
- Other duties that pop up: occasional requests from the Plant Manager for help in making spreadsheets, getting employee information on hours worked, pay rates, etc. Other duties as assigned.
Education and Experience:
- Experience with accounting, data and administrative management principles and practices.
- Excellent written and verbal communications skills
- Excellent time management skills and ability to multi-task and prioritize work.
- Maintain a congenial rapport with fishermen and buyers.
- Numerical aptitude and 10 key by touch.
- Energetic and efficient: Must be able to work 12 or more hours per day, 7 days a week in fast paced environment.
- Payroll experience required.
- Previous bookkeeping experience required
- Previous seafood experience recommended but not required
- Ability to work efficiently in fast past environment with little direct supervision.
- Proficient computer skills, including Microsoft Excel and Word.
- Must be willing and able to live and work in confined quarters in a multi-cultural environment.
- An enthusiasm to assist in other tasks and grow with the facility.
- Must always be professional and represent OBI Seafoods with the highest standards.
- Must be able to work well with fellow employees and cooperate with other departments.
- Prompt and reliable attendance is an essential function of this position.
